2949533 - Ad Hoc Reporting Permissions for MDF Nomination Method in Succession Management

Symptom

How to control the data which is displayed in Succession by MDF Position Ad-Hoc Reporting domains?

Environment

SAP SuccessFactors Succession & Development

Cause

The Succession by MDF Position Ad-Hoc reports are designed to be used by only a few powerful users in company (e.g. high level admins), it is not a tool designed for regular users.

The default system behavior of the Succession by MDF Position Ad-Hoc reports are to return all Succession information within the report regardless of any Role Based Restrictions or Target Populations (Position or User).

Although by default Succession Permissions are not considered, you can enable the following settings in Provisioning to allow greater control based on the access granted to the MDF Position Object;

  • Enable Ad hoc row level permission for Succession Subdomain schema (only support MDF position) - This is the least restrictive permission. Set this permission in conjunction with Position Target Population restriction(s) on RBP target population(s). The user is allowed to see only those positions that meet the target population(s) criteria but otherwise, position data is not restricted.

  • Enable Ad hoc field level permission for Succession Subdomain schema (only support MDF position) - This permission should be selected in addition to the row level permission. Set this permission in conjunction with Field Level Overrides for Position under Miscellaneous Permissions in RBP to exclude certain information from the report.

  • Enable Ad hoc cell level permission for Succession subdomain schema (only support MDF position) - This is the most restrictive permission. Select this permission setting in addition to the row and field level permissions. Like with the field level permission, this permission uses the Field Level Overrides for Position. The difference is that you set those fields you want the user to see to Read Only and then set all other fields to No Access.

Succession Implementation and Administration Guide: Enabling Field-Level Permissions in Ad-Hoc Reporting

Note 1:

The Succession by MDF Position Ad-Hoc reports are designed to be used by only a few powerful users in company (e.g. high level admins), it is not a tool designed for regular users, and the behavior mentioned below will be improved in the future by SAC reporting.

Position and Succession data in the Ad-Hoc reports are based on the Position Target Population(s), while the Employee Data in the report is based around the User Target Population. Therefore, the system doesn't limit Succession Data in the Ad-Hoc Report by Succession permissions, as would be seen in the Succession Module.

When granting users access to Succession Ad-hoc reporting it is important to ensure that users have a either a singular Position Target Population in one Permission Role or a consistent Position Target Population across all their Permission Roles. It is also worth verifying the User Target Population's associated to the Run Report permission and Employee Data permissions.

The recommended best practice is to have one Permission Role granting a singular Position Target population.

Note 2:

By default, the Succession with Employee Central Ad Hoc Reports (used when EC Position Management is enabled) do not include a People or Position pill. Therefore you are unable to generate reports by Team or Position hierarchy. However, it is possible to enable the Position Pill for the Succession with Employee Central Ad Hoc Reports through Provisioning, which allows you to generate the reports filtering by the position hierarchy. As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact your implementation partner. If you're no longer working with an implementation partner, contact SAP Cloud Support.

Resolution

This is the current expected system behavior as Succession Ad-Hoc reporting has historically been considered a very powerful tool which should be used by very high level admins or users. However the permission handling will become aligned with Succession module permissions with the new Embedded Analytics solution (powered by SAP Analytics Cloud).
