2958934 - Manager in Personnel File is Blank or Not Correct

Symptom

  • Observe that the manager of some employees is not correct or blank in the personnel file.
  • In some scenarios this happens even if the assignment works fine for other employees below the same parent org unit.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to Personnel Administration work center
  2. Click on Employees view
  3. Search and select the relevant employee ID
  4. Check the Organizational Assignment
  5. Identify Org Unit and Manager
  6. Go to Organizational Management work center.
  7. Select the Organizational Structure view.
  8. Select the relevant Effective Date.
  9. Select the Org Unit of the Employee.
  10. Identify Manager.
  11. Compare the Manager with the one in Personal Administration and detect mismatch.

Cause

  • The manger of an employee is the manager of the relevant reporting line unit. In case the org unit where the employee is assigned to, is not a reporting line unit, the next above reporting line unit is relevant. But the organisational hierarchy  is not maintained correctly
  • Two Employees report to each other, e.g. after they swapped roles as manager of org units.
  • If no valid active Manager is found, the system is designed to adopt a best fit scenario regarding employees and reporting line units:
  • If there is no relevant (parent) reporting line unit with a manager,  the best fit could be to pick the previous manager as manager in the personnel file (even if the manager has already been terminated).
  • The same can happen if the manager of a reporting line unit is employee of the same org unit, and there are no other managers available in the reporting line hierarchy above this org unit. This is to avoid that the employee manages her-/himself.
  • In some cases the best fit result is to leave the field manager in the personnel file blank.

Resolution

  • If the manager of an org unit shall be visible as a manager in the personnel file, mark the org unit as reporting line unit.
  • If the manager of a parent org unit shall be visible as a manager in the personnel file, mark the parent org unit as reporting line unit.
  • After a managers termination date, replace the position with a new manager
  • Ensure that Employees are not maintained as their own managers (are manager and employee of the same org unit) without an above reporting line unit manager.*

*To prevent related problems for the CEO of a company, the following approach may be used:

  • Set the CEO as manager of the company and as employee of a below org unit, and ensure that the Company is a Reporting Line Unit.
  • In case the employment org unit does not have a manager, and the company is the next relevant reporting line unit with a manager, the manager field for the CEO is blanc.
