Symptom

This article explains the limitation observed when using the recipient order in Docusign for Offer with e-signature.

Environment

SAP SuccessFactors Recruiting Management

Resolution

  1. Go to Application > Take Action > Offer > Offer Letter > Create an Offer letter with e-Signature for the candidate.
  2. In Actions (inside DocuSign), setup to have 2 signers, the first one with the recruiting user and the second one is for the candidate. Moreover, add a signing order which means the candidate cannot sign before the recruiting user.

    Note: This is a Docusign feature.
  3. Once the offer is sent, the following happens:
    1. The recruiting user will receive a DocuSign email to sign the offer while the candidate will have NO email notifications yet.
    2. However, at the same time the offer will now be available to the candidate in the 'My Offers' tab.
  4. When the candidate views the offer for the first time, they will see an Accept and eSign button in Blue (upper right side of the application).
  5. The blue button is made to call 2 features, the Accept functionality from SuccessFactors and the eSign functionality with DocuSign. It serves 2 purpose, it accepts the offer via SuccessFactors first and calls eSignature via DocuSign API.
  6. When we have the DocuSign recipient order in place with the (1) recruiter (2) candidate as the signer, when the candidate clicks on the 'Accept and eSign button' the system would only allow the candidate to accept the offer but not sign it (as long as the recruiting user has not sign it yet).
  7. As a matter of fact, after clicking the blue button we will see the following error (Failed to load eSignature console. Document is pending with another recipient for eSignature). This means the system can accept the offer (since this part is SuccessFactors functionality) but it fails to load the eSign (with DocuSign) since it is waiting for the first signer to sign it first.
  8. At this point, the offer status in the application will show as:
    Offer Response: Accepted
    eSignature Response: Pending

    Note: The offer status is correct. The offer has been accepted but it has not been signed yet. The offer pdf is not yet available for candidate viewing.

  9. After the recruiter signs the offer, the candidate would (1) receive an email from DocuSign to sign the offer and (2) see an eSign Now option in the offer.


  10. After signing, the offer status in the application will show as:
    Offer Response: Accepted
    eSignature Response: Completed

Summary: The recipient order functionality (in DocuSign) is working correctly per se, but there is a limitation wherein once the offer is sent out, the offer is immediately available to the candidate (despite the fact that it was not yet signed by the first signer).
