2970862 - View New Hire Documents not Available– Onboarding

Symptom

  • When checking new hire documents in View All Task >> Action >> Onboarding Document, the documents is not available
  • For some candidates the documents are available, but for some not.
  • The responsible team is not able to access the documents once the candidates are hired.

Environment

SAP SuccessFactors Onboarding 2.0

Reproducing the Issue

1. Open the Onboarding Dashboard
2. Click View All Task >> Action >> Onboarding Documents
3. No Documents available

Cause

  • Missing permission in Role-Based Permissions
  • Target Population is not set well.

Resolution

Enable the following permissions:

  • User Search in General User Permission

  • First Name, Last Name, and Status under Employee Data

  • Location, and Job Classification under Employee Central Effective Dated Entities   Job Information

Additionally, grant the following permissions in Role-Based Permissions:

  • View Documents Permission: Allows you to view the documents that are generated using XDP and PDF templates.

  • Document Category Access: Grants user access to all document categories or to specific document categories.

    Select Others under Document Category Access, and choose from the following new hire documents that you want to view on the new hire's details page:

    • [Onboardee] Administrative

    • [Onboardee] Custom New Recruit

    • [Onboardee] Policy Agreement

    • [User] Compliance

The first 3 categories are used for custom onboarding documents. These categories are used while uploading document templates as XDP or PDF. The last category is used to display the compliance documents.

For customer forms, under Onboarding or Offboarding Object Permissions, grant view permissions to 

  • Document Data
  • Document Flow

 

For compliance forms, under Compliance Object Permissions , grant view permissions to

  • AssignedComplianceForm
  • ComplianceDocumentFlow
  • ComplianceFormData
  • ComplianceProcess
  • ComplianceUserData

Check the Target Population and make sure the candidates are included.

Note 1: Only the 4 categories listed above should be permissioned for onboarding documents and compliance documents. Other categories under Document Category Access are not supported yet.

Note 2: Employees need to be added in Target Population if you want to access the documents of hired candidates, as the hired candidates will become active employees.
