2975249 - Multiple Roles Functionality in the Latest Version of Continuous Performance Management

  • As of the 2H 2020 release, the latest version of Continuous Performance Management supports roles outside of the traditional Manager/Employee hierarchical relationship to use the features and functions of Continuous Performance.
  • This article gives an overview of the functionality and introduces two new email notifications that support the Multiple Roles 1:1 Meetings functionality.

Environment

Resolution

Prerequisites:

  • Latest version of Continuous Performance Management is enabled. (Caution: Once you’ve upgraded to the latest version. You can not go back to the previous version)
  • "Enable Multiple Role Support" is enabled in Admin Center > Continuous Performance Management Configuration page
  • In Admin Center > E-mail Notification Template Settings > the "Multiple Roles 1:1 Meeting Invitation" and "Multiple Roles 1:1 Meeting Invitation Accepted" notifications are enabled.
  • Role-based permissions are granted
    • Access Continuous Performance Management is granted:
    • For multiple roles to be used, a target population has been defined for the assigned Continuous Performance Management roles or groups. As an example:
      • Manager's target population should include themselves, Direct Reports, plus any others that they may send requests to.
      • Individual contributor's target population should include themselves, plus any others they need or want to send meeting request to.

Multiple Roles > Active Channels functionality

On the Continuous Performance page > Active Channels tab > a Manager or Employee may click on the plus/add sign to invite others within their target population to create a meeting channel:

The Multiple Roles 1:1 Meeting Invitation notification is triggered to the recipient in real-time:

When the recipient clicks on the invitation link in the above email notification, this opens on the Continuous Performance page.

The recipient will see the name of the Requester and the invitation under the Active Channels:

Clicking into the invitation opens a pop-up window giving the option to "Accept" or "Decline":

When the recipient accepts the invitation to the 1:1 meeting channel, the "Multiple Roles 1:1 Meeting Invitation Accepted" is triggered in real time:

Example Channel

The channels created with other users may be accessed via the Active Channels tab, and it is also possible to hide channels if you no longer need to see them in the list. 

The user who initiated the channel invitation is the Meeting Owner, and the recipient of the channel invitation is the Meeting Subject/Participant.  For further information on the Active Channels meeting logic, please refer to the following KBA: 3033300 - Active Channels Functionality in the Latest Version of Continuous Performance Management

Notes: 

  • Channel owners cannot invite themselves, their Direct Reports, their Direct Manager, or other users with whom they share an existing channel.
  • Multiple Roles functionality does not apply to the Continuous Feedback feature.
  • It is not currently possible to report on 1:1 Meetings between Multiple Roles users.
  • The current design limit for Active channels a user may have access to is 300 (as of 2H 2021 release).
