2981174 - United States Compliance Forms Configuration Prerequisites - Onboarding

Enabling the United States Compliance forms feature in SAP SuccessFactors Onboarding requires specific picklists to be imported into the instance before the forms are activated. These picklists cover Country, State, County, School District, and Municipality data and are not present in the instance by default. Additional picklists are required for Pennsylvania-specific forms. This article covers the mandatory import prerequisites and the correct import sequence.

SAP SuccessFactors Onboarding

All instances enabling United States Compliance forms must complete the picklist imports described below before activating the compliance feature. The picklists must be imported in a specific sequence because County and School District data have a dependency on the State picklist. In addition to the ZIP-based imports, the Suffix picklist must be verified separately, as it supports capture of the full legal name of new hires on compliance forms.

1. Navigate to Admin Center > Picklist Center and verify that the Suffix picklist is maintained. NOTE: The Suffix field is not mandatory for new hires and may be left blank by users during the compliance form. However, the picklist must exist and the corresponding field must be configured as type Picklist in Manage Business Configuration > personalInfo for the forms to render correctly.
2. Download the following ZIP files from the Attachments section of this KBA:
   • Country_State_PicklistData.zip
   • County_SchoolDistrict_PicklistData.zip
   • PA_SchoolDistrict_PicklistData.zip
   • PA_Municipality_PicklistData 20260101.zip
   NOTE: The PA_SchoolDistrict_PicklistData.zip and PA_Municipality_PicklistData 20260101.zip files are required only if the Pennsylvania Residency Certification form will be used.
3. Import each ZIP file in the sequence listed in step 2:
   • Navigate to Admin Center > Import and Export Data.
   • Under Select the action to perform, choose Import Data.
   • Click ZIP File.
   • Click Choose File, select the ZIP file, then click Import.
   NOTE: Country_State_PicklistData.zip must be imported first. County_SchoolDistrict_PicklistData.zip depends on the State picklist and will fail if imported before it. The two Pennsylvania files must be imported last, after the County and School District import is complete.

After all required picklists are imported, the State, County, School District, and Municipality dropdowns will populate correctly in United States Compliance forms. If a dropdown remains blank after import, verify that the files were imported in the correct sequence and that no errors were reported in the Import and Export Data log.
