3008413 - An invalid legal entity XXXXXX was passed. Please review the Recruit to Hire mapping and validate the value passed from Recruiting - Onboarding

Onboarding has been initiated for a candidate but the same does not appear in Onboarding's dashboard.

After restarting the task in BPE, in the homepage, Onboarding process errors tile has the following error for the candidate:

"Error occurred in step: Create External User - Validate Candidate Data from Recruiting.

There was a problem during the Onboarding Process. Please correct the Error and press Restart. Restart will cleanup the Create External User step and trigger it again.

An invalid legal entity XXXXXX was passed. Please review the Recruit to Hire mapping and validate the value passed from Recruiting."

SAP SuccessFactors Onboarding

The user that had initiated Onboarding got permissions removed and/or was deleted from the system later.

The User was set as the onboardingBPEAdmin user and all the onboarding workflow deployments were made with him as the service user. The flow with this was working properly.

Suddenly customer decided to remove the user in a sequencial manner, initially removing from permission groups and then deactivating the user all together.

The removal of permissions led to the issue wherein legalEntity search is failing(as its a secure search) due to missing permission.

Secondly, since the deactivating of the user, the bpe process creation was failing.

Updated the new service user to SFADMIN (or any valid user) and redeployed all the workflow for the customer, the bpe process creation failure was resolved due to the availability of a proper service user in the new XML. However the Onboarding2Workflow that was initiated for the affected users, the service user is still the old one. So the process will still fail.

Note: for the current affected candidate(s), raise an SRSD (e.g: https://jira.successfactors.com/browse/SRSD-81947) to mark their onboardingInitatedFlag in RCM as false, move to the status in RCM pipeline that allows initiate Onboarding and re-initiate Onboarding for the candidate(s):
