3020680 - Onboardee has disappeared from dashboard after process was restarted - Onboarding

• Restart Onboarding process for Onboardee, search for Onboardee on dashboard, but cannot find the candidate
• After I cancel or restart onboarding, the candidate disappears from the Onboarding Dashboard and I can’t find them via search.
• When I reinitiate onboarding (including rehires), the new hire profile doesn’t show up—candidates remain marked as cancelled or simply never reappear on the dashboard.
• Changes like manager removal or auto‑cancellation cause the process to end and the candidate vanishes from the dashboard after a restart.
• Even with a restart, I can’t track progress or see tasks—the candidate becomes untraceable and no monitoring tiles or records appear.

SAP SuccessFactors Onboarding

1. Go to the Onboarding Dashboard
2. Search for candidate you would like to restart process
3. Click restart, later search for candidate
4. You cannot find candidate in Dashboard

There are two possible causes for this issue:

• Cause 1: The new onboarding process creation failed. This could be due to an unfinished job in BPE Monitor Processes
• Cause 2: Either there was no valid Hiring Manager user, hence, the error when the process was restarted.

Cause 1:

The new activity has been completed:

1. Go to Manage Data > Process Trigger > Search using Application Id or previous Process Id
2. You will find the cancelled and newly created Process Id, make a note of it.
3. Go to BPE: Monitor Processes > Filter > Variable > onboardingProcessId=<enter the process id>
   [do no include <> in the variable, it should be onboardingProcessId=ABCDE]
4. Verify if there is any unfinished job. If yes, please share the error id to SAP Product Support Team.

Cause 2:

• Go to Manage Data > Process > Search for the candidate using UserId
• You will find the cancelled process and newly restart process
• Update the Hiring Manager to a valid manager
• Save both the processes
• Go to BPE: Monitor Processes > Filter > Variable > onboardingProcessId=<enter the process id>
  [do no include <> in the variable, it should be onboardingProcessId=ABCDE]
• Copy the process instance id
• Go to BPE : Manage Process Task > Filter > Process Instance Id > Enter the id copied and click on restart task
