3022954 - SSP1 Form and RPLABSG0_SXP_EXCLUSIONS report

Symptom

The SSP1 form is a statutory form that employers must complete and issue, when an employee is not entitled to Statutory Sick Pay (SSP) or their entitlement to SSP is ending.

Employers can either:

  • download the form from the government website, fill it in on screen and then print it
  • download the form from the government website, print it and fill it in with a pen

When the form has been completed, employers must give the form to their employee. They can then make a claim for benefit.

SAP does not support the production of the SSP1 from the system, as the payroll does not hold sufficient information to fully complete the form..

The vast majority of the SSP1 form requires information that the payroll will not have stored. The payroll can only generate a few of the exclusion reasons for not paying SSP, therefore the value of a computer-generated form is very limited as it would still need manual completion.

With the delivery of GBSxP phase II (See note 748299 - SxP/OxP Phase II: collective note) SAP included a report that can be used to help complete the statutory SxP exclusion forms, the report name is RPLABSG0_SXP_EXCLUSIONS.

The program RPLABSG0_SXP_EXCLUSIONS can be executed to report on statutory absence exclusions found in the NCALE table. The information provided by this tool can be used to assist in completing the forms SAP1, SMP1, SPP1 and/or SSP1.

Process steps:

Please find the process steps below with some examples.

  • Running the payroll:

When an employee has had 23 weeks SSP paid there is a warning message shown in the payroll log stating that the SSP1 needs to be issued.

And another warning message is issued by the payroll at week 28:

And similarly for employees excluded from SSP completely due to insufficient earnings:

  • Running the Exception Message Report - PC00_M08_CEXC

These messages can also be seen using the Exception Message Report - PC00_M08_CEXC to alert you to the fact you may need to issue an employee with an SSP1 form.

This is an additional report that can be used to view the messages that are generated by the payroll log to get the notification of when SSP is running out or people have been excluded.

The report will show the exceptions detected as follows:

  • Running the report RPLABSG0_SXP_EXCLUSIONS:
