3031338 - Number Ranges and Unique IDs for Journal Entries

Symptom

Upon checking your journal entries in the system, you have noticed that there are documents with the same journal entry ID, but in a different fiscal year.

Environment

SAP Business ByDesign.

Reproducing the Issue

  1. Go to General Ledger work center.
  2. Go to Journal Entries view.
  3. Query for journal entries.

You find that journal entries with the same ID exists.

Cause

The number range IDs for journal entries are fiscal year dependant. Hence, the system resets the journal entry's number range each new fiscal year.

Resolution

This is the expected system behavior. The key fields that would generally identify a journal entry as unique are: Company ID, Set of Books, Fiscal Year and the Journal Entry ID itself. Further details in the number ranges per journal entry type can be found in the fine-tune activity Journal Entry Types and number Ranges, however the fiscal year dependency cannot be changed.

Note that the system's health check functionality also checks the number range consumption and warns key users when a specific number range, for a given year and business object, has almost no numbers/IDs left. This is informed via an automatic health check incident for number range depletion, under Incidents view in Application and User Management work center.
