This article outlines the use of Rewards & Recognition budgets as well noting any enhancements.

Managing Budgets

  1. Budgets are managed from Rewards & Recognition> Manage Spot Award Programs. Please ensure the logged in user has Administrative permissions to view and manage programs per the guide.
  2. Select a program and the "Budget".
  3. Program budgets follow a standard manager hierarchy by design. So, if a employee nominates you then the award will be deducted from your direct managers budget allocation.
    Within the budget .csv file there is two columns:

    BUDGET_HOLDER - This is the user ID of the user who you are assigning budget to

    BUDGET_AMOUNT - This is the budget allocation to the user ID in the BUDGET_HOLDER column
  4. Once budgets have been assigned please ensure your budget holder has the appropriate permissions setup. This is outlined in our guide as well as KBA 2834652Rewards & Recognition - Tips and Tricks
  5. As a budget holder, navigate to Rewards & Recognition to see overall allocated budget vs remaining budget.

Each program tile will populate budgets should you be assigned as a budget holder.

In this example, we can see 9,000 USD is assigned with 7,996 USD remaining.

Note

Please note the formatting of the assigned budget is hard coded and cannot be formatted.

Budget Hierarchy

As an Administrator, navigate to Rewards & Recognition> Manage Program> Select Program and Select the "Budget" tab.

Within this section there is an option labelled "Budget Hierarchy".

The selections under this options are "Nominee" and "Nominator".

Based on these selections, while nominations are being processed the system will deduct budget from either the "Nominee" or "Nominator" hierarchy.

  • Nominee - Award will be deducted from the nominee's hierarchy and manager
  • Nominator - Award will be deducted from the nominators hierarchy and manager

Note

If the "Nominator" hierarchy has been selected, the budget will NOT come from the nominator should they be assigned a budget.

Custom Budget Holders

If Employee Central is enabled and there is a requirement of having a budget holder who is outside of the nominee's hierarchy, please review KBA 2878257 - Rewards & Recognition - How to have custom budget holders outside of first manager hierarchy

This KBA outlines the use of business rules so the budget deduction comes from a budget holder who is outside of the currently nominee'/s hierarchy. This can only be achieved by business rules along with using workflows.
