• Recipient appears to receive duplicate notifications of the (ONB) Prepare for New Team Member Template.
• Is it possible to trigger only one (ONB) Prepare for New Team Member Template email for all tasks?

SAP SuccessFactors Onboarding

1. Log in to BizX
2. Navigate to Admin Center> Email Services> Email Status
3. See that Prepare for New Team Member Task appears to have duplicates sent to the same Recipient

The [[TaskName]] token is missing from the Email Subject in the template configuration.

Onboarding triggers an email per task created, the system does not automatically distinguish between different task types in a single “Prepare for New Team Member” process step. Without the [[TaskName]] token, all emails appear identical, which can be confusing to recipients.

1. Navigate to: Admin Center → Email Services → Manage Email Template
2. Open and edit the template: (ONB) Prepare for New Team Member
3. Scroll to the Email Subject section.
4. Insert the [[TaskName]] token into the subject line.
5. Ensure that the token is also applied for all configured locales.

This allows the email subject to reflect the specific task name, helping recipients distinguish between multiple tasks triggered by the same process step.

Important Notes / Limitation

• In Onboarding, each task generated by the “Prepare for New Team Member” step triggers the email independently.
• The system does not have native functionality to group multiple tasks into a single email, nor filter emails by task type automatically.
• Therefore, even with [[TaskName]] added, multiple emails will still be sent if multiple tasks are created simultaneously, this is standard system behavior.

Enhancement Request

This would be consider the current system design and an enhancement request has been already launched and voted by different customers. We encourage customers to vote or to raise their own enhancement requests if the current one does not completely meet their system requirements: Separate triggers for each task instead of Prepare New Team Member trigger
