3058138 - Document Flow Step does not trigger to any candidate - Onboarding

After completing the necessary data collection tasks in Onboarding, the document flow step does not trigger to allow candidates to sign the forms.

SAP SuccessFactors Onboarding

1. Onboard a candidate.
2. As a manager, complete the New Hire Data Review Step.
3. As a candidate, complete Personal Data Collection and Additional Data Collection Steps.
4. Check the selected Process Variant, document flow should be triggered by now.
5. Documents are not generated for signing.

• Cause 1: Customer is using Open Text Integration for Document Management Service, there is an error during document storage in attachment service.
• Cause 2: Documents are corrupted in Maintain Onboarding and Offboarding Templates, therefore they won't trigger.
• Cause 3: PFS issue, Password is expired.
• Cause 4: One affected form has duplicated placeholders which are affecting all forms to trigger.

• Solution 1: 3455540 - E-signature is not triggering for candidates - Onboarding - SAP for Me 
  
  
• Solution 2: Go to "Maintain Onboarding and Offboarding Templates" try to open any Documents, an error is display and you cannot open any of them.

However, if uploading a new document it's working properly, the old documents are corrupted, therefore they need to be uploaded again in order to trigger. This issue might happen after a PFS issue related.

• Solution 3: Try to upload a document in  "Maintain Onboarding and Offboarding Templates", error pops up: "ChangeSet index 1 - ???HCP Error Message: Https Status Code 401, Unauthorized???;File could not be uploaded to PFS", the PFS password must be reset as it is expired:
  
  

1. 1. With the P-User/S-User saved on Provisioning, open: SAP Help Portal: Forgot My Password and fill the "E-Mail, ID, or Login Name" field
   2. An email notification will be send to the email requested on the P-User/S-User creation
   3. Reset the password
   4. The new password must be saved on Provisioning side. You can whether ask your Partner or contact the SAP Onboarding Support to do so.

• Solution 4: We cannot use 2 placeholder with the same field name in the same form. In Manage Data > Process > check how forms appear as "0".
  
   Please kindly follow below steps:

1. Correct the form template: you can rename the second placeholder and maintain its mapping configuration.
2. Go to BPE Monitor Process and search for Variant onboardingProcessID=123456 (change number for candidate's process ID).
3. There will be an "unfinished" task for Document Block, click on it and you'll be able to find the Job ID.
4. Go to BPE: Manage Process Tasks >> filter with found Job Id.
5. Click on the "Restart Task" button
