3076107 - Future hire is not searchable / "You do not have permission to view this profile" error for future-dated new hire - Onboarding

• After a candidate is hired from Manage Pending Hires before the start date, the inactive profile is not visible.
• Manager or HR is not able to find the profile from the People search.
• Or the profile will show the following error when trying to search the Future Hire:
  • You do not have permission to view this profile.
  • You don’t have permission to access the profile content.

SAP SuccessFactors Onboarding

1. Hire an onboarding external user from Manage Pending Hires
2. Go to Admin Center > Employee Profiles
3. Check the option "Include inactive users in search" and try to search for the new hire:
   Scenario 1: The profile cannot be found.
   Scenario 2: The profile of the external candidate is searchable, but will see following error if open the profile:
   • You do not have permission to view this profile.
   • You don’t have permission to access the profile content.

Cause 1:

1. Admin Center > Company System and Logo Settings > "Show inactive user in people search" option is not enabled.
2. Admin Center > Company System and Logo Settings > "Hide External Users from search results" option is enabled.
3. The HRIS Sync job is not executed.
4. The HRIS Sync job and ConvertExternalUserOnStartDateJob are not running at the same time.

Cause 2:

If all above configurations are in place, then there is permission issue.

Resolution 1:

1. Admin Center > Company System and Logo Settings > enable "Show inactive user in people search" option.
2. Admin Center > Company System and Logo Settings > disable "Hide External Users from search results" option.
3. Execute the HRIS Sync job.
4. Run the HRIS Sync job and the ConvertExternalUserOnStartDateJob at the same time.

Resolution 2:

1) Make sure below permissions are granted to ONB roles with External target population:

• User Permissions > General User Permission > Company Info Access > User Search
• User Permissions > General User Permission > Live Profile Access
• Administrator Permissions > Manage Hires > Include Inactive Employees in the search
• User Permissions > Employee Views > select necessary sections

2) Make sure relative ONB permission roles have access to relative profile categories:

1. Go to Admin Center > Configure Latest People Profile > Full Profile
2. Click on the pencil button besides the profile category (e.g. Personal Data, Job Data, etc.) which should be visible per business needs
3. See "Target Roles" column > add relative ONB permission roles which need to view the profile data > save

3) Once above permission configurations are done, do RBP refresh

4) Go to OData API Metadata Refresh And Export page > refresh cache
