3079928 - 'Audit Data Without Personally Identifiable Information' is enabled and greyed out in the Preview instance

In the Data Retention Management tool:

• On the Auto Data Purge tab, the option
  “Audit Data Without Personally Identifiable Information (retention period: 180 days)”
  appears enabled and greyed out (cannot be changed).

• Can I disable “Audit Data Without Personally Identifiable Information” on my preview instance?

SAP SuccessFactors HCM Suite

1. Log in as an admin user with DRM permissions.

2. Navigate to Admin Center → Data Retention Management.

3. Open the Auto Data Purge tab.

4. Observe that “Audit Data Without Personally Identifiable Information” is enabled and cannot be modified.

This behavior is by product design:

• For preview instances, the system automatically selects the “Audit Data Without Personally Identifiable Information” purge option.

• This option is mandatory in preview instances and therefore cannot be disabled or edited via the UI.

This differs from other instance types (e.g., production, test, development) where Customers may be able to choose whether to cancel purging of certain data types.

This is expected behavior and not an error:

• The setting is a default configuration for preview tenants and cannot be modified.

• Documentation Auto Data Purge | SAP Help Portal explicitly states that:

  • “Audit Data Without Personally Identifiable Information is selected to be purged. You can't make your own configuration of this data type.”

• As a result, you cannot disable or customize this setting in a preview instance.

If you require a different purge behavior for this data type, discuss options with your SAP SuccessFactors support contact or consider feature requests via SAP Support channels.
