3112088 - Create Email Notification Template for PR or PO Approval Process and how to ensure those emails are sent successfully

Symptom

  • Need a email notification template for PR/PO approval process, however, it is not possible to edit the expected fields in the available templates; or
  • Email Notification not sent.

Environment

SAP S/4HANA Cloud Public Edition

Resolution

A. Even though it is not possible to edit the Pre delivered templates, there is an option to copy one of them (like MMPUR_CPR_DEFAULT_EMAIL_TMPL) and then Edit the new one.

I: Enter the "Maintain Email Templates" App

  1. Search for one of the Pre delivered templates
  2. Select it and click in 'copy' at the top of the page
  3. Ensure templates have correct spaces and underscores, matching Help Portal standards. The respective links are given in 'See also' section of this KBA below
  4. Go to the Custom templates
  5. Select what was created
  6. Edit the scope and add the fields (find a list of the available ones in Show Data Fields) desired.

II: Follow below steps to create new workflow:

  1. Open the Manage workflow app.
  2. Copy a workflow.
  3. Edit the copied workflow.
  4. Add email notifications.
  5. Set up the email details.
  6. Specify recipients.
  7. Save the changes.
  8. Arrange workflow order
  9. Test the workflow.

Note: Few templates have default predefined recipients thus it is not possible to see the Notifications tab for them.

B. Ensure that domains are maintained in BC Activity SSCUI 101312. (receiver domain).

 Also all recipient's domain has to be maintained, i.e in case one step has many recipients and one of them was lost then even for those domains maintained the email is not sent.

Examples:

  • John.Tester@company.com would allow emails sent to this particular email address
  • *@company.com would allow all email addresses with the company.com domain
  • *.company.com would allow all email addresses in company.com subdomains

Also ensure that Email address in SSCUI 101311 or Sender Domain is maintained in SSCUI 101313. The above examples as applicable here as well.

C. Check the status of email notification transmissions in the APP 'Monitor Email Transmission', if the status is Sent check the below.

D. Ensure that DKIM is configured, cause only then emails will be sent out of S4/Hana Cloud system.
