Symptom
How to initiate 0nboarding for a Contingent Worker?
Environment
SAP SuccessFactors Onboarding
Resolution
Onboarding supports the hiring of a Contingent Worker, so they can be converted to a regular employee via onboarding.
- As an active or terminated Contingent Worker, the applicant can be added to Onboarding either through manual Onboarding, Recruiting, or external ATS systems and follows the standard Onboarding process.
- User receives email with login credentials for the future employment and performs Personal Data Collection.
- After Personal Data Collection, the 2nd Rehire check will initiate. This action will trigger because enough rehire match data has been identified.
- Within the rehire verification match, all inactive, active employees and active employees with future dated terminations who match the rehire criteria will appear in the rehire verification step.
- After the user has been identified as a Rehire on New Employment, the user can login via existing login credentials from the active Contingent Employment, or new login credentials for the future employment.
NOTE: The login credentials are sent to the onbordee via the Legal Entity Transfer welcome message email. - The user can switch between the current (Active) and future (Inactive) profiles through the Context Switcher to complete necessary tasks.
- The user must be on the Inactive profile in order to complete the remaining Onboarding tasks.
Additional Information:
- This includes support of a time gap between the termination date and start date (ie: Contract ends on Friday and full time position starts Monday).
- If the contingent worker’s contract end date has not been entered, this will need to be completed in Employee Central, before the rehire verification can be completed.
- To enter the contract end date, navigate to Employee Central and update the date, once the date has been entered, the rehire verification step will reflect the update and allow for action to be taken.
- Rehire with New Employment button will be available for selection allowing the contingent worker to be converted to a regular employee and the rest of the onboarding process flow will continue.
- NOTE: If the candidate has a future termination date, post rehire match, the hire type will change to Legal Entity Transfer this is currently expected behavior. Engineering is aware of this product behavior and the plan is to address this issue in future releases.
