3128427 - How to purge External Users - 360 Multi-Rater

You add an external user to rate a 360 form and now you want to delete their data from the system.

When we add external users to a 360 process, they will be able to see only the form which they received the link to, they don’t have access to any other feature into the system. But their email address will be registered in the system, so if you want to delete the personal data of an external user, you can do that using the "DRTM Master Data Purge" function.

The only criteria for an external user to be purged is they must be set as inactive in the system.

To purge these users, follow the steps below:

1. Go to Admin Center > Employee Export
   
   
   
   
2. Click on "Export External 360 Raters"
   
   
   
   In this file you will find the data of all the external raters that are still in the system.
   
   
3. In the file you set them as inactive
4. Go to Admin Center > Import Employee Data
5. Import the file that contains the new data, updating their status as inactive
6. Go to the Data Retention Management, create a new purge request and select the "DRTM Master Data Purge"
   
   
   
   
7. Select the user that you want to purge. You can select only one user, upload a list of inactive users by user ID or select them by country or region.

Note: once you purge an external rater from the system following the above steps, you can add this user again in another 360 process. A new user will be created for this person.
