Symptom
You would like to know how the workflow will select business partners e-mails when you use/do not use the flag "Use main address of the recipient to send out e-mail and sms"
Environment
SAP Cloud for Customer
Reproducing the Issue
- Go to the Administrator Work Center.
- Open the Workflow Rules work center view.
- Click in the More button and select Workflow Settings.
You wonder how the checkbox "Use main address of the recipient to send out e-mail and sms" will behave with your business partners e-mails.
Resolution
When the “Use main address of the recipient to send out e-mail and sms” checkbox is unchecked: Workflow gets all the ‘default’ e-mail addresses for the Business Partner irrespective of the roles.
When the “Use main address of the recipient to send out e-mail and sms” checkbox is checked: the business partner role is taken into consideration.
Below is the logic for business partner type determination:
1) First it is checked if the business partner has ''Account/Individual Customer' role;
> In case it does, business partner type is determined to be 'Customer' and the 'default' e-mail address is selected for communication, if there is any present.
2) If it does not have 'Account/Individual Customer' role, it is checked if the business partner has either 'Contact' or 'Employee' role;
> In cases there is 'Employee' role, business partner type is determined to be 'Employee' and the Employee Workplace Address is selected for communication.
> Otherwise, it is checked if role is 'Contact'. In case it does, business partner type is determined to be 'Contact'.
- If Relationship exists between the contact and the account in the transactional document, the Contact Workplace Address 'default' e-mail is selected for communication.
- If no relationship exists, the main personal address 'default' e-mail of the contact is selected for communication.
In case multiple roles exist for a Business partner, following is how the preference is given:
- In case the BP has 'Individual Customer' and 'Employee' roles, the 'Individual customer' role is given preference.
- In case the BP has 'Contact' and 'Employee' roles, the 'Employee' role is given preference.
