3190227 - How Output Channel Selection Works in SAP Business ByDesign

Symptom

You would like to understand how the system determines which output channel to use for each of the documents in the system.

Environment

SAP Business ByDesign

Resolution

The document will determine the output channel in the following sequence:

  1. If the document involves a customer account or a supplier (e.g. sales orders and purchase orders respectively), system will prioritize the output channel determined for that document within the Communication > Collaboration tab of the customer/supplier's master data.
  2. In case no output channel is maintained as mentioned above or the document does not involve customers/suppliers, the output channel is determined based on the rules maintained for that document under the Application and User Management > Output Channel Selection work center view.
    • The system will go sequentially through the rules and will pick the first valid rule. You can change the Sequence by clicking on the Change Sequence button. Click Move Up or Move Down to change the order of the form template rules. The system applies the rules in the order they appear on the screen.
    • If the system cannot resolve the selection—either because there are many rules conflicting with each other or there is no output channel which matches the restrictions set up in the rule or it simply does not understand the rules maintained—it will resort to the default output channel for that document.

Additionally, for some documents (depending on status), you can manually select the output setting by clicking the You Can Also button and selecting Edit Output Settings while in View All mode.
