3204097 - How the Synchronization of Cost Assignments Between Expense Arrangement and Personnel Administration Works


You have transferred an employee to a new organizational assignment, however you noticed that the cost center assigned to the corresponding expense arrangement did not get automatically updated with the new cost center.

You expect that the organizational assignment in the personnel file should always be in sync with the cost assignment in the expense arrangement

Reproducing the Issue

  1. Go to Personnel Administration work center. 
  2. Go to Employees view.
  3. Find the employee and take note of the organizational assignment.
  4. Go to Travel and Expenses work center.
  5. Go to Expense Arrangement view.
  6. Open the related expense arrangement for the above employee.

You notice that the cost center assigned to the expense arrangement is not synchronized with the cost center of the employee's organizational assignment in Personnel Administration.

You want to understand how and when this synchronization happens.


The synchronization versus manual change of expense arrangements works as follows:

  • In case of a personnel event (hiring, transfer, termination etc.) cost center in Expense Arrangement is synchronized with cost center assignment of position in Work Agreement. The Expense Arrangement and Work Agreement are in sync regarding cost center assignment.
  • If user has manually changed cost center assignment in expense arrangement so that the cost center in Expense Arrangement deviates from the cost center in Work Agreement, i.e. Expense and Work Agreement are no more in sync, then the synchronization doesn’t work anymore for all upcoming transfers.
  • If the user now corrects all manually changed Cost Assignments and all following deviating cost assignments so that all cost assignments in expense arrangement fit again 1:1 – regarding intervals and cost centers - to the cost assignments in work agreement, then the synchronization should work again for all upcoming transfers.
  • The sync works also fine if the cost assignment in the expense arrangement is empty, i.e. was deleted manually or sync was deactivated.
  • Changes of cost center assignments in Org Management only, without corresponding Personal Event, are not synchronized at all. Such changes will lead to deviations and to a stop of synchronization. In order to avoid this, for each changed cost center assignment of a position, the user has to create a corresponding personnel transfer or directly adapt the expense arrangement accordingly.
