Symptom
An employee had a name change after the Onboarding activity has been completed. The newly generated forms were updated with the latest change in their Name, however, the already generated forms were not updated.
Environment
SAP SuccessFactors Onboarding 1.0
Reproducing the Issue
- Complete an Onboarding activity for a candidate and generate all required forms.
- After Onboarding is completed, update the employee’s legal name in Employee Central (e.g., Personal Information > Name).
- Trigger creation of a new form set (e.g., initiate a new compliance form generation or any process that regenerates forms).
- Observe that newly generated forms reflect the updated name.
- Check previously generated forms from the completed Onboarding activity and note they retain the original name and are not updated.
Cause
Expected behavior: Changes made after form generation will not sync to already generated forms. To reflect updates, forms must be regenerated after the changes are applied.
Resolution
Expected Behavior - Once the forms are already generated, all the data that are on those forms won't be updated if the candidate has updated an info in their activity.
If the customer wants to have those data be updated on those already generated forms, the only way to do it is to restart the candidate's Onboarding Activity by moving the activity back to NES and deleting all generated forms so that a new set of forms will be generated.
