3216923 - Time Recording Cannot be Edited or Deleted

Symptom

You want to remove or edit a time recording of an employee, however the time recording is grayed out and Remove button is not enabled.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to Time Administration work center.
  2. Choose Time Recording view.
  3. Choose Time Sheet subview.
  4. Edit the employee XYZ (XYZ represents the employee ID).
  5. Go to Employee Times tab.

Here the entry is read-only and the Remove button is grayed out.

Cause

Causes:

1) The time type which concerns the time entry you selected has not been activated for usage in the employee time sheet or in the Time File of the Time Administration, therefore all the recordings for the given time type appear as read-only.

2) The project against which the employee is recording time has status Completed, Closed or Stopped. The Project can be found in Labor Information tab under Employee Times.

3) The Time Recording is marked as Not Allowed for the project task against which the employee is recording time hence the time recording cannot be changed.

Resolution

For Cause "1", follow the steps below:

You will need to activate the time type via Business Configuration.

  1. Go to Business Configuration work center.
  2. Go to Overview view.
  3. Find the activity Time Types - XX (XX represents the country abbreviation)
  4. Click Change Immediately.
  5. On the screen that opens, click Maintain Employee Time Types, under Employee Time Types section.
  6. Choose the concerned time type.
  7. In the Service Activation tab, you will be able to flag the time type for Time Sheet and Time Administration.
  8. Save your changes.
  9. Open the user's time sheet again.

For Cause "2", follow the steps below:

  1. Go to Project Management Work center.
  2. Choose Projects view.
  3. Choose Projects subview.
  4. Choose show All Projects.
  5. Search for Project ABC (ABC represents the Project ID against which the employee XYZ is recording time).
  6. Choose Edit.
  7. Go to Project Plan.
  8. Go to Project Status field.
  9. Revoke the status and make it to released.
  10. Click Save.

Now you will be able to edit or remove the Employee Times.

For Cause "3", follow the steps below:

  1. Go to Project Management Work center.
  2. Choose Projects view.
  3. Choose Projects subview.
  4. Choose show All Projects.
  5. Search for Project ABC (ABC represents the Project ID against which the employee XYZ is recording time).
  6. Choose Edit.
  7. Go to Project Plan.
  8. Choose Project Task which is assigned to the employee XYZ.
  9. Choose the field Time Recording and change the field from Not Allowed to Approval Required or No Approval Required as per your requirement.
  10. Click Save button.

Now you will be able to edit or remove the Employee Times.
