3221423 - Error when creating an Offer Letter with DocuSign eSignature - Recruiting Management

Symptom

When trying to create an Online Offer with eSignature, we get an error: "Unable to send out the document for eSignature. Error occurred while creating the eSignature offer."

Reproducing the Issue

  1. Click Take Action > Offer > Offer Letter
  2. Select a template
  3. Click Next Step
  4. Click Online Offer with eSignature
  5. Getting the error "Unable to send out the document for eSignature. Error occurred while creating the eSignature offer."

Cause

There is currently a character limit of 100 characters in the subject line on DocuSign side. See DocuSign support document for details.

Moreover, when DocuSign creates an offer letter for SuccessFactors Recruiting integration, it automatically adds ": eSignature" which contains 12 characters at the end of the original subject.

The final subject is in the format [Subject: eSignature] as per shown on the sample below:

Hence, the original subject in SuccessFactors must below 88 characters.

Resolution

This is a limitation on DocuSign side and is being worked on by the DocuSign team.

As of now, the only way to resolve this issue is by reducing the subject line to below 88 characters.

Note:

  • If tokens are used in the subject line, please remove the tokens and type the subject manually.
  • Special characters, e.g. ( ) _ or -, etc., could count as multiple characters. Users can use MS Word and other tools to count characters with spaces.
