1. My Availability workcenter view not available in Project Team work center for employees to edit their availability.

You have two solutions for Resource Calendar in the system:

  1. The older solution is Resource availability based on Commitment quantity where you get the possibility of editing the Resource Calendar as an employee. The help document refers to the older resource calendar.

  2. The newer solution is resource availability based on planned work where the employee would not be able to edit the Resource Calendar. The help document link for the same is https://help.sap.com/docs/SAP_BUSINESS_BYDESIGN/2754875d2d2a403f95e58a41a9c7d6de/120ab365437e471c87bcb4c98701d7c1.html .

If you have scoped in new solution for Resource Calendar then editing of Resource Calendar by employee is not supported.

2. Resource Calendar Report doesn't show all relevant data as expected.

The report HCMRPMU05_Q0001 relies on data existing in the Resource Calendar.  This is created at the time of the Resource Planning Management solution being scoped on the system and the changes to projects planning, absences, planned times etc are kept up to date on the resource calendar for the specific employees.

For example: If you scope Resource Planning Management on a particular day then the data will be calculated and the Resource calendar is updated from that date onwards  This is the reason for the date only being available from the scoping date and not from the duration of the time file and the planned times from the time file.

3. Is it possible to show the resource availability of an employee on an hourly basis in Resource Calendar?

The system determines the number of hours that a resource has available on a certain day and this is shown in the availability calendar. If you are a project manager or a resource manager it is good to know the individual capacity of your team members, but it would be very useful to see the capacity (in hours) of your whole team or your selection of resources. This could be done by adding all the individual capacity numbers in an extra row below the resource availability calendar.

4. What is the purpose of Background Job Run: Resource Calendar Availability Calculation?

In the view background jobs there is a run called Resource Calendar Availability Calculation:

  1. Select Application and User Management workcenter
  2. Select Background Jobs view
  3. Search: Resource Calendar Availability Calculation
  4. Run ID: AVAIL_CALC
  5. Run Type: Time And Labour Schedule Run

This Run Id is created by: Technical User (SAP_SYSTEM)

AVAIL_CALC is a background job triggered by TIMX_SCHEDULE_RUN MDRO when the new Resource Calendar is Scoped in.

This job is helpful to execute the Update_calendar Action in Timx_resource_calendar which will performs the calculations based on the CNRs created.

CNRs are triggered whenever there is any employee resource calendar relevant changes made in the system.

5. It takes a long time to show the availability of employee in Resource Management.

This is the expected behavior since the function has been performed for all the employees in the system. It has to fetch the availability data for all the employees for a period of three months in the past and 1 year in the future.

Many factors and conditions are involved in fetching the data from BYD. It depends on the number of projects, project tasks that employee has been assigned to, work schedule, color codes based on the holidays and working days.

6. Resource Calendar Report not displaying all tasks for an employee in a project.

The Resource Calendar stores data for the past 90 days and the upcoming 1 year, focusing on tasks with significant planned work hours distributed across specific days.

For tasks with limited planned hours, the planning may have either:

  1. Been completed more than 90 days ago, leading to the data no longer being available in the calendar.
  2. Not been distributed evenly throughout the year, as the Resource Calendar considers only those days where the task exceeds a threshold of 15 minutes of planned work.

In contrast, tasks with more extensive planning are distributed across multiple days, meeting the criteria for inclusion in the calendar.

This explains why certain tasks may not have corresponding day node data and are therefore not displayed in the report.
