3242276 - How to restrict Approval Workflows to users with a Workflow license

Symptom

How can modelers trigger an Approval Workflow without having a Workflow Accelerator license?  It is creating cases with the Signavio User/system@signavio.com in the Workflow Accelerator, so we do not know who submitted the case.

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Resolution

It is normal for the Signavio User/system@signavio.com account to be used, when a Process Manager user has submitted an Approval Workflow, but they do not have a Workflow license. In this scenario, the Approval Workflow Participants (i.e. settings; Process Owner, Process Participant 1, Process Participant 2) are meant to be populated, so that the user is known. On the Workflow Accelerator side, the participants are displayed in the Cases overview.

If Approval Workflows need to be restricted to only users with a Workflow license, then the option Use workflow access permissions needs to be enabled.
The menu navigation is Process Manager: Setup > Manage approval workflows > General (tab) > Use workflow access permissions (tick-box)

Once it has been enabled, users who do not have a Workflow license will get the following message when they try to submit an Approval Workflow.
