3254344 - Candidate is appearing in both Recruiting and Onboarding sources in MPH - Onboarding

Symptom

Candidates who are moved to a Hirable status in Recruiting and subsequently initiated into Onboarding, appear twice in the Manage Pending Hires (MPH) tool, once under the Recruiting source and once under the Onboarding source.

Cause

This is currently system expected behavior due to its designs.

Resolution

From the RCM viewpoint, triggering [RCM->MPH] hiring path is independent of triggering [RCM->ONB1.0->MPH] hiring path.

As example bellow:

  • [RCM->MPH]
    Move the job application to a specific status ("Ready to hire"), that status is configured in [Admin Center> Applicant Status Configuration]. 
    You must identify the application status set that is tied to the job requisition of that job application.
    Once you find the correct status set, the specific status has a Hirable Option=Hirable.
    As soon as the job application is moved to this status, a new hire record will be sent to MPH(RCM)

  • [RCM->ONB1.0->MPH]
    You must press the Initiate Onboarding button on the job application. This button only appears if both are true:
    (1)The job application is in a certain status. Please review KBA 2430029 if Initiate Onboarding portlet/button missing in candidate's application
    (2)The USER viewing the job application is in a certain RCM operator role for that job req.

To sum up:

  • The Recruiting source is populated by candidates classified as ready for hire via Recruiting Management’s status and integration settings.

  • The Onboarding source is populated by candidates who have an onboarding process record, either because onboarding was initiated manually or automatically after Recruiting disposition.

  • If both conditions are met for a candidate (e.g., Recruiting sees them as hirable and Onboarding 2.0 has been initiated) they can show up in both sources. This is expected system behavior by design with the current integration model.

Both 1 and 2 are configured in the job requisition XML template.

This path, does not consider Hirable Option setting.
