Symptom

The Employee Responsible is redetermined if the Sales Unit is changes in a Sales Order via PDI.

Environment

Cause

The following 3 elements are taken into consideration for the determination of the Party Roles in a Sales Order:

  1. The fine tuning activity Involved Parties for Sales Orders in your Business Configuration.
  2. The Organizational Work Distribution rules in the Organizational Management.
  3. The Employee Work Distribution rules in the Organizational Management.

 

 You can check the determination rules for the Employee Responsible as follows:

  1. Go to the Business Configuration work center.
  2. Select the Overview view.
  3. Open the fine tuning activity Involved Parties for Sales Orders
  4. Select the Employee Responsible party role and click on the Maintain Determination button.
  5. Here you see that there are 3 methods for the determination of the Employee Responsible.

    Step 10 -> Direct responsible Account
    If this step is active, the system will check if there is a direct responsible maintained in the Responsibilities of the Account Master Data for the party role Employee Responsible – Sales.
    If this is the case, the Employee Responsible will be determined. If this is not the case the system will check the next step.

    Step 20 -> Responsibility “Employee Responsible for Sales”
    The system checks if a rule for the Employee Work Distribution and the Work Category Employee Responsible for Sales has been defined in the Organizational Management.
    If the rule applies, an Employee Responsible can be determined. If there is no rule defined or the rule does not apply, the system will check the next step.

    Step 30 -> Logged on UserIf this step is active, the system will determine the logged on User as Employee Responsible.
    If all these settings are set up correctly the system can automatically determine the Party Roles Seller, Employee Responsible Sales, Sales Unit and Sales Organization when you enter an Account in a Sales Order.

 

Even if you have no rule maintained in the Employee Work Distribution and the Work Category Employee Responsible for Sales, the company is one of the parameter and hence a change or potential change in seller can influence employee responsible and therefore the Employee Responsible might be redetermined and if it cannot be redetermined due to the rules set up it will be empty.

Please Note: the party redetermination will always happen unless the party is manually added by the user.

Resolution

If you do not use any rules for the work category Employee Responsible for Sales we would recommend to uncheck the Step 20 -> Responsibility “Employee Responsible for Sales”.
In this case there will be no redetermination of the Employee Responsible when the Sales Unit is changed.

 

You can do this as follows:

  1. Go to the Business Configuration work center. 
  2. Select the Implementation Project view.
  3. Select your project and click on Open Activity List.
  4. Navigate to the Fine Tuning Tab.
  5. Open the fine tuning activity Involved Parties for Sales Orders.
  6. Select the Party Role Employee Responsible.
  7. Click on the Maintain Determination button.
  8. Untick the Step 20 -> Responsibility “Employee Responsible for Sales”.
  9. Save your changes.
