Symptom

How to create a MDF record with values copied from an existing one inside of Manage Data?

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental. 

Environment

  • SAP SuccessFactors HCM Suite
  • Metadata Framework (MDF)

Resolution

Prerequisites

You are now able to copy data from one existing MDF record and create a new one with those values. In order to achieve that, however, you need to observe the following prerequisites:

  • The MDF object needs to have the object category set as 'Configuration' or 'Non-Transactional Information' in Configure Object Definition;
  • The user needs to have the permission Administrator Permissions > Metadata Framework > Manage Data in RBP;
  • If the object is secured, then you need to consider the following scenarios:
    • If the object is effective-dated, you need to grant the View and Create permissions;
    • If the object is not effective-dated, you need to grant the View and Edit permissions.

How to create the copy

  1. Access Manage Data and open the MDF record you would like to copy;
  2. Click on Take Action > Copy;
  3. Once you click on it, the page will load a new record being created with the values copied from the existing MDF record;
  4. You just need to fill out the other mandatory values and save the record.

Frequently Asked Questions (FAQ)

  1. Why some fields are not automatically copied to the new record?
    • Some fields are not copied as per feature design: external codes, business keys, autonumber fields, system fields, and attachments.
  2. Why do I see the copy option only for certain objects and not all?
    • Reason One: The object category for a given object must be 'Configuration' or 'Non-person transaction data', else copy option will not be shown;
    • Reason Two: Only users who have 'View'/'Create'/'Edit' permission for such an option will be shown, else ‘Copy’ option will not be shown.
  3. I want to have the Copy feature for FOs(like for object Department, Job Classification and so on) but I am not able to change the object category. What can I do?
    • For pre-delivered objects, only SAP can change the 'Object Category' and an enhancement ticket need to be raised to the respective team. For example, if you need for any Employee Central object, the ticket needs to be raised to LOD-SF-EC team.
