Document category permissions required to view attachments uploaded during Custom Data Collection step in Manage Documents

SAP SuccessFactors Onboarding

1. Access the instance as admin user/service user
2. Access "Manage Documents"
3. The documents attached during custom data collection step are not displayed in Manage documents
   
   

Only Onboardee entity type document category RBP was provided to the permission role of the user accessing Manage Documents to view the attachments hence they failed to find the Custom Data Collection documents on Manage Documents.

The Custom Data Collection step allows us to create custom objects with attachment fields. When the Onboardee or the HRAdmin uploads an attachment, they are uploaded with moduleName “GENERIC_OBJECT” and documentEntityType as “null”. The other onboarding documents uploaded as part of Document Flow have documentEntityType as “ONBOARDEE” and hence appear on the Onboarding Documents link available from the Actions menu on Dashboard details page.

Since the Custom Data Collection attachments are of EntityType null, they are visible on Manage Documents only when the logged in user has access to All Document Categories.

In order to view attachments uploaded during Custom Data Collection step by onboardee or Admin you need to make sure that the logged in user has access to All Document Categories as shown below-

Currently, there is no specific entity type for which RBP can be provided so that these attachments are available on Manage Documents. User needs to have access to all the entities. This is as per the current system behavior.
