3281522 - Termination Workflow Cannot be Approved (No-show Scenario)

Symptom

When the customer tried to approve a termination worKflow, theY received an error message.

Error message is generic: "Please click this link to automatically search for any Knowledge Base Articles related to this error, or refresh the page and try the action again."

Customer has an onSave business rule which sets the compensation information record start date to the 1st day of the month (e.g. 1st November instead of the event date, i.e. 20th November).

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

SAP SuccessFactors Employee Central

Reproducing the Issue

1. Attempt to approve a Termination workflow
2. Error is happening with final approver: "Please click this link to automatically search for any Knowledge Base Articles related to this error, or refresh the page and try the action again."

Cause

This is a configuration issue.

Having a rule setting the compensation information start date being delimited by the termination to the 1st day of the month may be fine in some cases. However, in the case of users hired and terminated within the same month (no-show scenario), it causes the issue that the previous compensation information record and corresponding PCR records cannot be merged/end dated properly, as there is no record before the the 1st of the month to close, and this is causing the error.

Example scenario:

  • Error relates to delimiting a PCR record
  • Customer has an onSave business rule setting the compensation information start date being delimited to 1st day of the month
  • User has been hired on the 20th of the month and is being terminated on the 21st (no-show scenario)
  • For an affected user, the unique existing compensation information record is set as the start date of 20th November (corresponding to hire date), so there is no record before 1st November to be end dated.

Resolution

1. Cancel the current workflow
2. Disable the rule (BCUI)
3. Trigger again the workflow and go through the approval. If it can be approved then the rule needs to be reviewed to ensure that it does not match for this scenario (corresponding to no-show scenario), this might be done by adding conditions but this needs to be reviewed by the implementation partner.

Our Engineering team is working on improving the customer error message. Once we have more details on the enhancement and target date, this KBA will be updated.

In the meantime, please have your CSM track the enhancement "ECT-202552".
