3286017 - Setting Up Delivery Note Output Scenarios

Symptom

Based on the business requirement, it may be necessary to define how delivery notes are created and output.

Cause

You can use the 'Output Parameter Determination' app to define how delivery notes are created and output.

Resolution

There are many scenarios for when and how delivery notes are created and output. The following procedures describe some typical use cases:

Case 1: Creating Delivery Note at the Creation of the Delivery and Outputting at Goods Issue

You can view the delivery note in the system upon delivery creation and the delivery note is not output to a printer until goods issue posting. The settings in the 'Output Parameter Determination' app are evaluated during the creation of the delivery, but not at goods issue. The current delivery data is used to output the delivery note during goods issue, but the settings in 'Output Parameter Determination' are not re-evaluated during goods issue. For this reason, it is not possible to redetermine the printer queue based on which user is posting the goods issue, for example. If there is no need to redetermine the settings in 'Output Parameter Determination' during the goods issue posting, you could set up the scenario as follows:

     Defining conditions for the Output Type

  1. Go to the 'Outbound Parameter Determination' app.
  2. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Output Type
  3. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    4. Choose the Activate button.

     Defining Conditions for the Printer Settings

  1. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Printer Settings
  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    3. Choose the Activate button.

  1. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Output Relevance
  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

3.  Choose the Activate button.

Results

  • The delivery note is created simultaneously with the delivery and is not output to a printer.
  • The Output Parameter Determination has determined the print queue based on the user who created the delivery. This was not user ABC123, which means that the print queue DEFAULT has been determined.
  • If the user ABC123 subsequently posts the goods issue, the print queue is not re-evaluated during goods issue. Therefore the delivery note is output to the print queue DEFAULT. 

Case 2: Creating and Outputting Delivery Note During Goods Issue Posting

Before posting goods issue you can delete or add delivery items and change delivery quantities. Once you have posted goods issue, changes to the delivery are restricted. In this case it makes sense to create and print the delivery note upon posting goods issue. You could carry out the following procedure to set up this scenario:

     Defining conditions for the Output Type

  1. Go to the 'Outbound Parameter Determination' app.
  2. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Output Type
  3. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    4. Choose the Activate button.

  1. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Printer Settings
  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    3. Choose the Activate button.

  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    3. Choose the Activate button.

Results

  • A delivery note is not simultaneously created with the delivery. Instead, the delivery note is created once goods issue is posted.
  • The print queue has been determined based on the user who posted the goods issue.

Case 3: Creating and Outputting Delivery Note at Delivery Creation and Additionally at Goods Issue

If you need to be able to:

  • view the delivery note directly after creating the delivery and
  • re-evaluate the Output Parameter Determination during goods issue (for example to define a printer queue based on the user who posted the goods issue)

you could carry out the following procedure to set up this scenario:

     Defining conditions for the Output Type

  1. Go to the 'Outbound Parameter Determination' app.
  2. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Output Type
  3. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

     4. Choose the Activate button.

  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

Note: The Print queue “DEFAULT” is a sample print queue which is always available in SAP S/4HANA Cloud Public Edition. It cannot be used for productive output.

    3. Choose the Activate button.

  2. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

    3. Choose the Activate button.

Result

2 Delivery notes have been created:

  • The first delivery note was created during delivery creation and output to the print queue DEFAULT. This delivery note is not physically printed, as the DEFAULT print queue can never be used for productive output.
  • The second delivery note was created and printed during the goods issue posting on the printer assigned to the user who posted the goods issue.
    Note: 

    The second delivery note is only created during goods issue if the first delivery note has already been output. If the first delivery note is in the status "pending" during goods issue, the second delivery note is recognized as a duplicate and is not printed.

Case 4: Creating and Outputting Delivery Note at Delivery Creation

If you would like the delivery note to be created and printed at the time of the delivery creation only, carry out the following procedure in the 'Outbound Parameter Determination' app:

     Defining conditions for the Output Type

  1. Go to the 'Outbound Parameter Determination' app.
  2. Select the following dropdowns in the Select Business Rules area:
    Show Rules For: Outbound Delivery
    Determination Step: Output Type
  3. In the Maintain Business Rules area, define settings in the decision table as indicated in the following screenshot:

     4.Choose the Activate button.

Result

The delivery note is created and printed at the time of delivery creation only. No duplicate is printed at the time of goods issue posting.
