3290155 - Pre and Post Onboarding 1.0 Refresh Checklist

Symptom

What should we do Pre and Post Onboarding 1.0 refresh to avoid situations where Onboarding 1.0 cannot be accessed or used post refresh.

Environment

SAP SuccessFactors Onboarding 1.0

Resolution

Pre Refresh

1. Check the Account and URL info entered to the request form

  • Make sure Source Account and Destination Account can be found in Super Admin of the mentioned environment.

Note 1:

The Bizx that will be mapped to the Destination ONB 1.0 Account post refresh is called Destination Bizx in this KBA.

But Onboarding 1.0 refresh does not touch Bizx and Provisioning. In case any change in Provisioning such as Onboarding 1.0 feature is disabled or User/Permission Sync job disappears, customer need to check what's wrong during Bizx refresh.

If customer plan to refresh both Destination ONB 1.0 Account and Destination Bizx, please complete the Bizx refresh first.

Because the Onboarding 1.0 settings in Provisioning like connection or permission/user sync job may be updated during Bizx refresh.

Once refresh on Destination Bizx completed, please continue Pre Refresh checking as below.

2. Check the connection between Destination Account and Destination Bizx

  • Go to Provisioning of Destination Bizx and check if it is connecting to the Destination ONB Account
  • Go to Super Admin of Destination Account and check if it is connecting to the Destination Bizx.
  • If not, need to confirm with customer.
  • It is recommended to take a screenshot of SF_BizX_Connection as backup.

3. Check User and Permission Sync job in Destination Bizx

  • Both User Sync job and Permission Sync job should be set up and submitted in Provisioning of Destination Bizx.
  • If not, suggest customer to have a partner to configure the jobs or copy data from Source with a justification otherwise nobody can access ONB 1.0 post refresh.
  • File name in sync jobs should match Destination Account.
  • It is recommended to take screenshots of User Sync job and Permission Sync job as backup.

4. Check FFoundation Import in Super Admin of Destination Account

  • SFTP credentials, folder path in this feature should match those in User Sync job and Permission Sync job.
  • It is recommended to take screenshots of Foundation Import as backup.

Note2: Creation Ad-hoc Report export job (User/Permission Sync job) is out of support scope. Customer need to have a partner to do it.

Note3: Refresh will not be scheduled unless all details confirmed. Customer may have to reschedule the refresh.

Post Refresh

1. Super Admin of Destination ONB Account

  • Check SF_BizX_Connection, if it is connecting to Destination Bizx. Correct it if needed.
  • Foundation Import, if the SFTP credentials and folder path are changed during refresh. Contact customer for SFTP credentials and correct it if needed.
  • Check Corporate Structure and Forms. Contact the Ops team in case any issue.
  • Check Account Option "Security.SAML20.Audience" matches the pattern <Onboarding_URL>/SSO/SAML20/AssertionConsumerService.aspx, case sensitive.
  • If the users in source system and target system are totally different, update UseDiff option as No and run the user sync once. Make UseDiff as Yes later.

2. Provisioing of Destination Bizx

  • Check Onboarding 1.0 settings in Company Settings, if it is connecting to Destination Account.
  • Check User and Permission Sync job, if they are changed.
  • Contact customer in case any issue.
