3302823 - Duplicate data in PM reports

Symptom

  • In Ad-hoc reports duplicated rows of data is visible for the same subject, when the rating columns are included even with Enable Distinct option enabled 
  • Duplicated records are visible in the story report for Performance Forms

Environment

  • SAP SuccessFactors Performance Management
  • SAP SuccessFactors Calibration
  • Ad Hoc reporting

Reproducing the Issue

Ad Hoc Reports:

  1. Go to Report Center
  2. Create a new table report
  3. For this example add Subject Username, Current Route Step name, Status, Overall Objective Rating, Overall Competency Rating, Overall Performance rating fields to the column
  4. Tick the 
  5. The report will return several rows although you expect to have only one

Story Reports:

  1. Go to Story Report
  2. Create query using multiple Datasource from various tables
  3. Duplicated or multiple rows is displayed for the same row

Cause

  • Issue occurs when HR (or Calibration administrator) is sending the form to the next step at the same time, when the employee is editing the form
  • Two operations occurring at same time: form force routing operation and form auto-save operation
  • This results in dirty data in feedback table
  • For story reports, the issue occurs when multiple data sources are used

Resolution

Resolution: report issue to Product Support

Workaround: duplicate records will disappear, after the form is routed to the next step, then back to the original step

Resolution for Story Report :
Option 1: Adjust the View Level
If you are using Table Reports, one way to minimize duplicate entries is by switching to a Cross-tab view, which often presents data more cleanly. 

Option 2: Create Separate Data Sources
Another effective approach is to split the data sources. For example:

  • One data source could include only the Form TemplateForm, and Form Section.

  • A second data source could include the Form TemplateForm, and Competency/Objectives tables.

This segregation can help avoid configuration conflicts and reduce data duplication in reports.
