3313502 - Group Journal Entries - Attachment cannot be checked in My inbox app by approvers

When you want to post journal entries with an attachment in app Post Group Journal Entries/ Import Group Journal Entries, the attachment of the message cannot be found in My Box app for Approvers.

The attachment uploaded into Post Group Journal Entries app is not visible in the “Attachments” tab of the My Inbox app by design.

The rationale behind this design is that the attachment uploaded in the Post Group Journal Entries application is integral part of the Journal Entry draft. General principle exists according to which the draft is only visible to its author (in this case the initiator of the workflow item). Granting access of the draft attachment to the approver of the workflow item in the My Inbox application would violate this principle.

After the creator of the Journal Entry draft hits the button “Create Workflow Item”, the workflow item for the draft is created and sent for the approval to My Inbox. At this point, the draft still exists in the database and is locked against changes but theoretically can be modified after the approver chooses “Rework” decision option. This means that from the technical point of view, the workflow item visible in the My Inbox application refers to the Journal Entry draft which can be accessed exclusively by the creator of the draft by principle.

It is also important to mention that the “Attachment” tab in the My Inbox application is dedicated to the approver of the workflow item and his attachments. Technically, it should be possible to add a reference of the Journal Entry draft attachment into the “Attachment” tab in My Inbox, but such a requirement is considered to be a non-standard one and should be treated as such.
