3322901 - Error "Exchange rate for currency ABC and DEF missing" is raised when you execute a Dunning Run for Receivables

Symptom

Error message "Exchange rate for currency ABC and DEF missing" is raised when you execute a Dunning Run for Receivables. (ABC and DEF stands for different currencies).

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to Receivables Work Center.
  2. Click on Dunning Runs view.
  3. Fill all the relevant data and execute the Run.
  4. On the Application Log you will find that it finished with errors. Open it.
  5. On Results tab, error message is raised:

"Exchange rate for currency ABC and DEF missing"

Cause

There are some possible causes that may lead to this error message, such as:

  • There is no Exchange Rate maintained between Currencies ABC and DEF.
  • One or more of the open items in the Customer Account ID XYZ are migrated invoices that have no Exchange Rate maintained and system is set to pick Invoice Exchange Rate at Dunning Strategies Activity. (XYZ stands for the Customer Account ID relevant for the Dunning Run).

To check if there is an Exchange Rate maintained between Currencies ABC and DEF:

  1. Go to General Ledger work center.
  2. Under Common Tasks, click on Edit Exchange Rates view.
  3. You notice that there is no Exchange Rate maintained between Currencies ABC and DEF.

To check if there is one or more open items in the Customer Account ID XYZ that are migrated invoices that have no Exchange Rate maintained:

  1. Go to Receivables work center.
  2. Open Customer Accounts view.
  3. Find and open Customer Account XYZ.
  4. In Trade Receivables > Invoices / Payments, there is one or more open Invoices that are migrated and hence cannot be opened.
  5. Open the corresponding Journal Entry.
  6. You will notice that there is no Exchange Rate. 

Then, follow these steps:

  1. Go to Business Configuration work center.
  2. Open Overview view.
  3. Search for Activity Dunning Strategies and open it.
  4. Click on Edit Dunning Strategies.
  5. In the corresponding Dunning Strategy, in Details section, General tab you notice that Exchange Rate is set to Invoice Exchange Rate.

The Exchange Rate in Activity Dunning Strategies is set to Invoice Exchange Rate. Since there is no Exchange Rate maintained in the Journal Entries of the migrated Invoices, the Dunning Run raises the error message.

Resolution

If there isn't an Exchange Rate maintained between Currencies ABC and DEF, create one through the following steps:

  1. Go to General Ledger work center.
  2. Under Common Tasks, click on Edit Exchange Rates view.
  3. Click on Add Row and create an Exchange Rate between Currencies ABC and DEF with all relevant data.
  4. Click on Save.

If there is one or more open items in the Customer Account ID XYZ that are migrated invoices that have no Exchange Rate maintained, change temporarily the Exchange Rate in Activity Dunning Strategies from Invoice Exchange Rate to Current Exchange Rate through the following steps:

  1. Go to Business Configuration work center.
  2. Open Overview view.
  3. Search for Activity Dunning Strategies and open it.
  4. Click on Edit Dunning Strategies.
  5. In the corresponding Dunning Strategy, in Details section, General tab, change the Exchange Rate field to Current Exchange Rate.
  6. Click on Save.
  7. Then, go to General Ledger work center.
  8. Open Edit Exchange Rates.
  9. Set the Exchange Rate to the needed amount to match the values in the Invoice.
  10. Execute the Dunning Run again for Customer XYZ. 

It will process the Dunning without errors. If required, set Exchange Rate field back to Invoice Exchange Rate in your Dunning Strategies after this execution is complete.
