Symptom
Rehire with Legal Entity Transfer Behavior and Workflow
You can now initiate the transfer of an existing employee from one legal entity to another within the organization (either within the same country/region or across countries/regions) by terminating the employee's employment and rehiring them with a new employment.
Environment
SAP SuccessFactors Onboarding
Resolution
Pre-requisite:
Before you initiate the transfer of an employee from one legal entity to another, you must have a:
- Future Termination Date in Employee Central.
- Start Date in Recruiting, which is the day after the Termination Date in Employee Central.
- Configure and enable the new (ONB) Legal Entity Transfer User Welcome Message Template to send the welcome email notification and provide information about login credentials to transferred employees.
- To use the Rehire with New Employment feature, you must have the Rehire Inactive Employee with New Employment (by ‘match’ in New Hire) permission.
Note: Rehire with New Employment for legal entity transfer is supported only when onboarding is initiated from SAP SuccessFactors Recruiting for internal hires, specifically after adding a Termination Date for the employee's current employment.
Candidates must come as Internal from Recruiting, otherwise Legal Entity Transfer won't trigger.
Step result/ Additional Info:
How to enable new (ONB) Legal Entity Transfer User Welcome Message Template: Email Services > Active Templates > Manage Templates > Plus Icon > Reuse Templates > Find the template needed > Click on "Add to Active List".
The Rehire with New Employment workflow is automatically initiated when onboarding is initiated and a future termination with a new start date that is past the termination date is detected.
Upon completion of the New Hire Data Review step (if applicable), a welcome email is triggered to the employee, notifying them about the future employment.((ONB) Legal Entity Transfer User Welcome Message Template)
Steps Executed:
- First Terminate the employee with a Future Termination Date from Employee Central.
- Initiate Onboarding from Recruiting with a Start date that is after the Termination Date and a different Legal Entity.
- It will be possible to see the Onboarding record on the Onboarding Dashboard.
- In the EC Profile, it will be possible to see the two different employments.
- Complete the Review New Hire Data step for the candidate. While submitting the NHDR step, in case if the start date and termination date have a gap of more than a day, then a warning is displayed. This is because ideally the preference is to set the Start Date of the new employment is always the next immediate day following the Termination Date.
- Once this is completed, the following Email is triggered: (ONB) Legal Entity Transfer User Welcome Message
- Please be mindful, that irrespective of which email is set as primary, the Email will be sent out to the Business Email id set.
- Post this the manager/ assigned user can now complete the configured New Hire Tasks from the dashboard.
- Once this is done, the user can login and will notice an additional icon next to the Todo icon. This is the Context Switcher. Employees can use their existing login credentials and the Context Switcher to view and switch between the current (active) and future (inactive) employment profiles. The switcher displays the profile of the current existing (active) employment first, followed by the profile of the future (inactive) employment. Using this switcher, employees can complete all new hire tasks (as per the Process Variant Manager configuration) that are assigned as part of their Onboarding Journey.
- On the termination date, the older profile will be inactive and once the candidate's onboarding is completed and the start date is reached, the new employment will be active.
