Symptom
- Get prompted for database password when refreshing reports in Crystal Reports.
- How to save the database password for a report in Crystal Reports?
Environment
- SAP Crystal Reports 2013
- SAP Crystal Reports 2016
- SAP Crystal Reports 2020
Reproducing the Issue
- In Crystal Reports, create a report based on any data source.
- Save the report.
- Close Crystal Reports.
- Start Crystal Reports, and re-open the report.
- When refreshing the report, it prompts to enter the database password.
Cause
- There is no option in Crystal Reports designer to store the password to the database the report is connecting to.
Resolution
- Database password for reports cannot be stored in a report in Crystal Reports, but:
- If the report is connecting to the Semantic Layer: Universe (UNV), or Business View,
then the database password can be stored in the Database Connection.
For Universe (.UNV), it is stored in the Connection of the Universe, from the the Universe Design Tool.
For Business View, it is stored in the Connection of the Business View, from the Business View Manager.
- If the report is connecting to a database directly, and the report is saved on the SAP BusinessObjects Business Intelligence platform, the database password can be stored in the "Database Configuration" of the report in SAP BI LaunchPad, or the Central Management Console (CMC)
Note: Even if the password is stored in the Database Configuration of a report in SAP BusinessObjects BI platform, when refreshing the report in Crystal Reports designer, it will always prompt for the database password. This is by design. The database password is only stored for the report when viewed, or scheduled in SAP BI LaunchPad, or the CMC.
