3327912 - Migrating Job Description Manager Data to Talent Intelligence Hub

Symptom

This article provides steps required to prepare your system for Talent Intelligence Hub upgrade in the 1H 2023 Release, on instances using Job Description Manager solution (JDM).

If you are currently using Job Profile Builder to manage Families and Roles, and Center of Capabilities to manage competencies, the information here provided is not valid for your system, so check the KBA 3328015 - Migrating JPB data to Talent Intelligence Hub - 1H 2023.

Environment

Resolution

With Talent Intelligence Hub users can manage different attributes (competencies, skills and any other custom attribute configured in your instance that are important to your business) in a centralized placed called Growth Portfolio. For more information, check our Administration Guide in SAP SuccessFactors Platform > Using Talent Intelligence Hub.

Important Notes

  • Before completing this migration path, please review with your company if you eventually want to enable JPB. Customers who migrate from JDM > TIH are not required to enable JPB. However, if you choose to enable JPB after the migration you'll need to correct all JDM/JPB check tool errors and complete the JDM > JPB migration. If you plan on enabling JPB at a later time, please instead follow the steps in 2276692 - Best Practices on Job Description Manager to Job Profile Builder Migration. 
  • Before enabling Talent Intelligence Hub is important to be aware that you cannot revert back to manage competencies in Job Description Manager. Once your system is successfully migrated to Talent Intelligence Hub, competencies are managed under the new framework.
  • Only competencies will be migrated to Talent Intelligence Hub framework. You will still manage Families, Roles, and related mappings under Admin Center > Manage Families and Roles.
  • There are no impacts on other functionalities related to Job Description Manager (e.g. Writing Assistant, Coaching Advisor) other than competencies.
  • Your JDM data for all libraries, competencies, and behaviors must be maintained in all locales enabled for your instance as Talent Intelligence Hub does not support the default locale context.
  • Back up your JDM data before running the migration to Talent Intelligence Hub.
  • Still Need Help? If you need assistance with the migration, customers can exchange experiences with each other and ask questions of our migration and adoption experts in a new Work Zone group. In order to be admitted into the group, please send an email to SAP_SF_Product_Advisory@sap.com. All group members will also be invited to Office Hours calls, that will take place from time to time, and according to necessity. Migrating to Talent Intelligence Hub

To prepare your system and data for the enablement of Talent Intelligence Hub, make sure to:

  1. Run TIH checks in Admin Center > Check Tool and fix any errors returned. Check the WIKI page JDM & JPB Check Tools for more details and help fixing the issues you may find
  2. Enable Talent Intelligence Hub in Admin Center > Upgrade Center - Carefully read the information for the Talent Intelligence Hub upgrade
  3. Check if migration job is completed successfully. If the job fails, run checks for Talent Intelligence Hub in Admin Center > Check Tool to verify what needs to be corrected.
  4. Set up Role-Based Permissions for Talent Intelligence Hub - Check the required permissions in the section Permissions Required for Using Talent Intelligence Hub of our Administration Guide.

Data Validation for Talent Intelligence Hub in Check Tool

Here is the list of checks available for Talent Intelligence Hub in the Check Tool:

Engineering needs to process a script to resolve the issue.

Supporting KBA:

No two distinct competencies or behaviors have identical GUIDs JDMCompetencyBehaviorWithSameGUIDDifferentCCIDWhen you have distinct competencies or behaviors with identical GUIDs, migration of the competency or the behavior to Talent Intelligence Hub fails.

Engineering needs to process a script to resolve the issue.

Supporting KBA:

Use Job Profiles in Requisitions is enabledUseJobProfilesInReqCheckValidates prerequisites for enabling Talent Intelligence Hub. For a Job Description Manager 2.0-enabled instance, ensure the “Use Job Profiles in Requisitions” option is enabled in Admin Center > Manage Recruiting Settings.

If it returns with an error, the setting “Use Job Profiles in Requisitions” is not enabled in Admin Center > Manage Recruiting Settings.

Supporting KBA:

Every competency and behavior has a unique GUID JDMCompetencyBehaviorsameGUIDA GUID must always be associated to a single competency. Every competency and behavior must have a unique GUID.

Quick Fix option is available for this check, and users with granted permission for the action can correct the issue completing the steps on the Check Tool screen for the check.

Behaviors Names will be truncated to 236 characters automatically.  

Supporting KBA:

Competency and behavior names in Talent Intelligence Hub are valid JDMInvalidCompetencyBehaviorNameCheckIn Job Description Manager, competency names can contain special characters. However, Talent Intelligence Hub restricts you from having special characters in competency names.

Refer to the List of Supported HTML Tags and remove any unsupported tags or JavaScript from your competency descriptions listed in the check results.

Supporting KB:

Competency and behavior descriptions in Talent Intelligence Hub are valid JDMInvalidCompetencyBehaviorDescCheckJob Description Manager supports HTML tags and JavaScript in competency descriptions. However, Talent Intelligence Hub doesn’t support JavaScript in competency descriptions. It also supports only a few HTML tags in competency descriptions. When you are migrating from Job Description Manager to Talent Intelligence Hub, any unsupported HTML tags and JavaScript will result in errors.

Refer to the List of Supported HTML Tags and remove any unsupported tags or JavaScript from your competency descriptions listed in the check results.

Supporting KB:

Competency and behavior names must be within the 236 characters limit JDMCompetencyBehaviorNameLengthCheckThe competency and behavior names in Talent Intelligence Hub can’t exceed 236 characters.

Quick Fix option is available for this check, and users with granted permission for the action can correct the issue completing the steps on the Check Tool screen for the check.

Behaviors Names will be truncated to 236 characters automatically.  

Supporting KBA:

Migration of competencies in job requisitions from Job Description Manager 1.0 to Job Description Manager 2.0 is completeMigrateJDM1CompetenciesJobCompletedCheckValidates if the “Migrate Competencies in Job Requisitions from JDM1.0 to JDM2.0” Job is running.

When you enable the setting "Use Job Profiles in Requisitions" in Admin Center > Manage Recruiting Settings, the action triggers the background job "Migrate Competencies in Job Requisitions from JDM1.0 to JDM2.0", to bring in the competencies from JDM to JPB.
