Symptom

E-Verify Sending Erroneous "E-Verify Client Account Termination Notifications"

Below is a sample of the Notification you may have received.

You are receiving this email to inform you the U.S. Department of Homeland Security intends to terminate your E-Verify account, Company NameClient Company ID, due to non-use. No client company profile updates or E-Verify cases have been created in this account for more than three years. This will also terminate your E-Verify Memorandum of Understanding (MOU).

Reason for Termination: Non-use of account
Scheduled Termination Date: 2023-06-15

To avoid termination, have your E-Verify employer agent, SuccessFactors, Inc., review and update your client company profile before the scheduled termination date. This may help you to determine if you should keep the above referenced account or terminate it. If all information is current, click the ‘Save’ button on any one of the edit pages to confirm the review required to keep your account active. Additionally, ensure that cases are created in E-Verify to confirm employment authorization within three days of hiring any new employees.

When we terminate this account, user access, participation, and associated E-Verify case details of this account will no longer be available. To preserve the records from this E-Verify account, see the Case Reports section of the M-775, E-Verify User Manual. E-Verify case information and documentation must be retained for employees for the same length of time as their Forms I-9, Employment Eligibility Verification, which is 3 years after the date of hire (i.e, first day of work for pay) or 1 year after the employment ended, whichever is later.

Cause

E-Verify Service technical issue.

Resolution

E-Verify Service/DHS team has confirmed that these emails are being sent in error. Their technical teams are urgently investigating.

IMPORTANT NOTE from E-Verify Service:

  • If your company received an email referencing termination of your E-Verify account for non-use, please disregard -- the email was sent in error. Your account will not be terminated, if you were actively participating in E-Verify prior to receiving the notice.
  • Please log in your account periodically as we are implementing solutions to problems as they are identified. Before logging in, please delete your temporary internet files and cookies in the ‘internet options’ portion of your web browser.
  • If you are outside of the three federal government working day window for creating cases for new employees because of this technical issue, you will not be held accountable for a three-day violation. When you are able to create cases, please select ‘Technical Problems’ as the reason for the delay.
