Symptom
When SAP SuccessFactors Onboarding is integrated with an external HRIS using Employee Central Mini as the storage layer, Employee Central is not used as the system of record. A consolidated reference of the supported and unsupported scenarios in this configuration is required, including functional limitations, data maintenance requirements, and rehire considerations.
Environment
- SAP SuccessFactors Onboarding
- SAP SuccessFactors Employee Central
Resolution
The supported configuration is documented in the SAP Help Portal. See Integration of an External HRIS with Onboarding for the full setup requirements and prerequisites: Integration of an External HRIS with Onboarding | SAP Help Portal
The limitations described below apply within this integration model.
Licensing and scope
- Onboarding without Employee Central does not require an Employee Central license. Onboarding licenses are still required for managers, HR administrators, and other onboarding participants.
- Employee Central Mini is not intended for core HR processes such as hire, transfer, or promotion. The data for these events comes from the customer's core HR system.
Functional limitations
- Crossboarding is not supported with Employee Central Mini.
- Offboarding is not supported with Employee Central Mini.
- Manager Self-Service (MSS) is not supported.
- Employee Self-Service (ESS) is not supported.
- Position Management must not be used in Employee Central in this configuration.
- Compensation calculations must not be used in Employee Central in this configuration.
- The Employee Central UI is read only in this configuration.
Important: Position Management and Compensation calculations in Employee Central must not be activated in this configuration. Enabling either creates conflicts with the external HRIS as the system of record for those processes.
Data maintenance
- Employee status changes (for example, moving an employee to Active status) are not maintained automatically in Employee Central Mini. These updates must flow through the supported HRIS integration process.
- HRIS Synchronization configuration is required to keep employee data consistent after onboarding completes. See Integration of an External HRIS with Onboarding (linked above) for the required HRIS Sync setup.
Note: If employee status is not updated through the HRIS integration after onboarding completes, the employee record in Employee Central Mini may remain in an intermediate state. This does not affect the onboarding process itself but may affect downstream reporting or integrations that read from Employee Central.
Rehire considerations
For rehire scenarios in this configuration, see Rehire with New and Old Employments in an External HRIS | SAP Help Portal
After reviewing the limitations above, the applicable constraints for the external HRIS configuration are identified. If a required scenario is listed as unsupported (for example, Crossboarding or Offboarding), it cannot be enabled through configuration or permissions. For unsupported scenarios that are business requirements, submit an enhancement request via the SAP Influence Portal. See KBA 2090228 for guidance on submitting enhancement ideas: 2090228 - How to submit enhancement ideas for SAP SuccessFactors Products - SAP for Me
