Symptom

A customer wants to send an email notification to an approver when a timesheet is submitted for their approval.

Environment

Resolution

A customer wants to send an email notification to an approver when a timesheet is submitted for their approval. To generate this notification:

1. Before you begin, gather these requirements from the customer:

  • The policy profiles or other qualifications that determine which employees the notification applies to.
  • Which level of approver should receive the email notification.
  • The header and text of the email notification.
  • Any other special conditions under which the notification should be sent.


2. Policy Records > Formulas > Named Formula Group: Create a named formula group with one member that is part of the logical timesheet exception key.

3. Policy Records > Messaging > Message Detail: Create a new policy and enter the email subject and text specified by the customer. For more information, review the documentation about message detail policies in the policy configuration guide for the customer's release.

4. Policy Records > Messaging > Message Recipients Group: Create a policy, or find an existing policy, that represents the approval level for the users who should receive the notification. For more information, review the documentation about message recipient group policies in the policy configuration guide for the customer's release.

5. Policy Records > Exceptions > Exception Code: Create a new exception code.

6. Policy Records > Exceptions > Exception Policy: Create a new exception policy that uses the exception code, named formula group, message detail policy, and message recipients group that you just created. Set Role Set Able to View to NONE to prevent the exception from displaying on the timesheet. Check Send E-mail and set When to send e-mail to Employee Approval.

7. Policy Records > Exceptions > Exception Trigger: Create a new period-level exception trigger that uses the exception policy you just created. Include employee_approved = true in the formula and add other qualifications as needed.

8. Policy Records > Exceptions > Exception Trigger Group: Add the exception to any existing exception trigger groups that need it.
