3363225 - Error Message: Consumption quantity must not be greater than available quantity

Symptom

Not possible to consume project stock order, due to error:  Consumption quantity must not be greater than available quantity.

Environment

Reproducing the Issue

  1. Go to Project Management work center.
  2. Navigate to Project Stock Orders view.
  3. Find and select the relevant Project Stock Order ID.
  4. Choose Edit button.
  5. Select the relevant Line Item and click Consume.
  6. Enter the relevant Details and click OK.
  7. The system returns the error message: Consumption quantity must not be greater than available quantity of ABC (ABC represents for the material ID that you want to consume on the project).
  8. However you have already done the delivery on project for material ABC.

Cause

The project stock order consumption is not possible because the quantity was moved away.

After the material be delivered to the project, you have done goods movement for it and the remaining quantity is less than the quantity showing in the project screen.

Resolution

In ad-hoc confirmation the project stock is not reduced and you can do this from Internal Logistics work center -> Consumption for Project. The quantity is consumed directly from the source LoA and the project task information is captured in account assignment and available in accounting.

The ad-hoc confirmation can be executed in Physical Inventory work center -> Change of Pre-Delivered Stock view. However you can perform the goods movement from Internal Logistics work center -> Consumption for Project is for ad-hoc consumption. Change of pre-delivered stock is used to remove the project tagging in case of Pre-Delivery scenario (where you have a custodian of the stock)

So the ad-hoc confirmation doesn’t deal with stock tagged to the project at all. For the pickup (scenario with movable LoA) and consumption at site (scenario with project LoA), the project tagging can be removed by posting goods movement via Internal Logistics work center -> Goods Movement view.

Note:
1. If project stock order raises an error during consumption, you can check the stock in Stock Overview. If there are not enough stock with project tagging, you can check Confirmation Journal from Internal logistics work center -> Reports list and check Confirmation Journal report by retrieve the Goods and Activity Confirmation ID (GAC ID), by querying for product And with stock type as “Custodian Party”, confirmation type as ‘Standard’ and Inventory change reason as “Transfer”, and find out the GAC ID (conf ID), which has effective quantity as 0 nos. This is same for pickup and consumption at site as well.

2. You can revert the ad-hoc confirmation via Reverse Confirmation in Goods and Activity Confirmation screen.
Both the ad-hoc consumption as well as the goods movement GACs can be reversed from the same screen. However, the end user also needs to understand that the reversal of the confirmation happens at the header level. So if more than one items were included in the document, especially in goods movement, then all the items would be reversed and more importantly, the stock for the product should exist in the LoAs before the reversal is triggered – if there isn’t sufficient stock, inventory will raise an error to that effect.

3. All the confirmations that are inventory relevant can be found in confirmation journal. The inventory change reason would be different for different scenarios. For goods movement GACs, the inventory change reason code would be ‘Transfer’, where the issue line would have project tagging, while receipt line wouldn’t. For consumption GAC (triggered from PSO as well as ad-hoc consumption) the change reason code would be ‘Consumption’ – it’s just that the ad-hoc consumption GAC will not have any BTD reference information.
