3369122 - Redesigned Applicant Management Workbench - Recruiting Management

Symptom

The Redesigned Applicant Management workbench is an update to the legacy Candidate Workbench and provides an improved user experience for searching, filtering, and displaying individuals who have applied for specific jobs.

1H 2024 UPDATE: After 1H 2024 release, the switch "Enable Latest Applicant Workbench", under Manage Recruiting Settings was removed as part of the release, (i.e. admin users can no longer turn it ON/OFF). A decision has been made to revert it and to add the switch back in manage recruiting settings and the former behavior will be established again. These changes will be applied via PATCH on May 9th for Preview environments.
In the meantime, when the switch is enabled, end users can continue navigating between legacy and redesigned pages via simple user toggle.

UPDATE: Upcoming release timeline for the Applicant Management tool:

  • 2H 2024 Release: Currently, each Recruiting User can select to view either the Legacy or Redesigned Applicant Management Tool with a toggle in the tool. For customers who only want use the new Applicant Management tool can remove the Legacy Workbench in Admin Settings. Customers who do not want to allow for the Redesigned Applicant Management tool, Admin Opt-Out is available within Admin Settings. 
  • 1H 2025 and 2H 2025 Releases: New capabilities and enhancements delivered, ensuring key functionality is available in the Redesigned Applicant Management tool. 
  • 1H 2026 Release: Legacy Workbench is not available. Universal Push for all customers. 
  • 2H 2026: Full Depreciation of the Legacy Workbench.

  • Apply Interviewer List To All Applicants action - this feature is at the moment not planned in the roadmap. We recommend to create an Influence request so that we can better understand the business value and also track the number of interested customers. See KBA 2090228 detailing how this process works, how to create an improvement request, search for ideas created by other customers, and vote for existing improvement requests.

Difference between Legacy and New Workbench

  • "Initiate Onboarding" Limitation of Redesigned Applicant Workbench
    Once onboarding is successfully initiated for a candidate, the "Initiate Onboarding" button is NOT greyed out and is still clickable. This is a current limitation (and expected behavior) of the latest applicant workbench. As of today, even if the action is not greyed out when the onboarding is initiated and is successful, nothing happens if you click on "Initiate Onboarding"; there is no impact on Onboarding. However, we agree that this behavior can be improved so we will definitely discuss this item to add it to the future roadmap.  
  • It is possible to select up to 50 applicants for initiating an action on them, like the "Move Applicant" action, "Download Document" action, etc.
  • It is possible to see all candidates that have applied or have been forwarded to a given job requisition, except the anonymized applicants and applicants who have applied to a job requisition closed before January 1st, 2023. If you need to see these applicants, you can switch back to the legacy Candidate Workbench.
  • To move applicants to another status, the user can click on "Move" button and the next status will be automatically pre-selected. This redesigned action provides clear feedback to the user about the validity of the move for the selected applicants. The user can choose another status if needed. The drag & drop feature is not supported.  
  • Anonymized applications and applications marked for anonymization are not displayed in the new tool as only applicants on whom you can perform actions are visible.  If you would like to see any applicants in the following statuses, then you will need to switch to the legacy workbench or consider using reporting functionalities. 
      • Deleted on Demand by Admin

      • Deleted on Demand by Candidate

      • Declined DPCS     

  • The above statuses will still be visible in the New Redesigned Applicant Workbench with application count 0. Engineering team has considered to hide these statuses appearing in New Applicant Workbench going forward in any of the upcoming releases.

As a result, the number of candidates and active candidates which are displayed on the job requisition summary page can be different from the count in the new workbench.

  • The redesigned Applicant Management tool lets Recruiting users control all applicant status changes through the Move button only.  For this reason, in the redesigned workbench, onChange rules configured on Status will not be supported, meaning:  

    • If an onChange rule is set to modify the value for Status automatically, this will not work.

      • Eg: If the value for Rating is < 5 = set Status to disqualify 

    • If an onChange rule is set on the Status field itself, this will not work

      • Exg: When Status is changed to "Interview" = set Interview Picklist to "To be scheduled" and raise alert "Please make sure to schedule interview". 

  • If you have set an onChange rule on Status, you can convert this onChange rule to an onSave rule. Minor differences to be aware of between onChange and onSave rules:

    • We can't raise alerts with onSave rules.
    • The onSave rule changes the value stored in the database whereas onChange changes the value in the UI (that can then be modified by the user before saving in the database = it acts more as a suggestion)
    • The onSave rules are triggered once clicking on "Save" or "Move" versus onChange rules are triggered when modifying a value in the portlet.
  • The "View Resume" action is not present anymore. To access an applicant's resume, click on the applicant's name to view the details page, then navigate to the "Resume and Documents" tab.   
    What about the Resume carousel?  
    In the list, you can select multiple applicants and then select the View Details action, so that you can see the detailed view of these applicants, including their resumes. As in a carousel, click then on the little arrow at the top-right corner when you want to switch to the next applicant's resume/details. Note: If you have preselected status and move the candidate out of those status the arrows will become read only

  • The "View Profile" link is not supported in the new workbench. Hence, the comments attached to the Candidate Profile are not visible. However, they can be viewed from the candidate search page.  
     

  • Manage Columns option: up to 9 columns can be selected and displayed at the same time. Columns displayed are not driven by the code in the application template, but controlled by an object that’s configured under Manage Data – Link to document 
     
    - Permission Roles →  Manage MDF Recruiting Objects → Recruiting User Personalization Object.

  • multiattachmentselection fields type behaviour: if a document is added by a candidate, it can be deleted/replaced by the Recruiting user in the latest workbench, if the user has the correct permissions. 

  • Uploading or deleting an attachment should be done from the Resume and Documents tab instead than from Application Information.
    When attempting to upload a document from Application Information the message below appears directing to the user to edit the field in the tab Resume and Documents:
    "You can remove this document or upload an updated version from the “Resume and Documents” tab for this applicant"
  • Live data icon: it will provide the latest information updated by the candidate in their profile. However, the information provided while applying to the job requisition will not change (snapshot concept). 
     

  • To access the navigation tabs such as job profile, job postings, candidate search, view candidate ratings, users will need to click on "Job requisition title" to be able to access these tabs.  
     
     

  • Standard fields can be configured in both candidate and application templates. However, in the new workbench, the field will be shown only in one section even if the field is configured in both templates. For more information, click HERE  

  • For specific scenarios, there will be some differences between the date and time between the legacy and the new workbench. This is because the new workbench will use the browser time zone and the legacy will use the user time zone as per their user data file. 
    For example: A recruiter has France / Europe as a locale in his/her profile, if the recruiter travels to the US and set up an interview there, the time of the interview will be based on the browser time zone (in this case US time zone), as a result, there will be a different time shown between the legacy and in the new workbench.

  • When you forward a candidate using the forward as colleague option from the latest workbench the option Attach Resume and Cover Letter isn’t selected by default compared to the legacy workbench. If the user wishes to attach the CV/Cover Letter then they need to check the boxes.

  • Download Documents action - You can download 10 Resumes/Cover Letters at a time. If you need to download additional documents, select the remaining Job Applications and download the documents again. This is a current limitation of the new tool and will be added as a future enhancement. 
    Note: It would be possible to select more than 10 applicants but the system will still download the documents from 10 applicants only.  

  • The Referral Portlet (in the Legacy workbench is called "Employee Referral Information") is not available in the Latest Workbench.  However, you can now filter on referral as an Applicant Type, and see in the header in the detail view. 

    

 

    
  • In the Legacy Workbench, users were given a warning message "When you complete this action there will be no openings remaining on this requisition and the requisition will be closed. Do you want to proceed?"  
    This warning message has not been integrated into the Latest Applicant Workbench functionality, so it's unsupported at the moment.

  • When you search for a candidate using Candidate Search there is an option to view the candidate’s applications. When you select an application, the page displayed will appear as the legacy workbench even when the latest workbench has been enabled. Product Management has noted this. 

  • It’s not possible to restrict access to the Latest Workbench to a few employees or give access to only a few employees .

  • Forward to Req:
      • Keywords
      • Req ID
      • Recruiter Name
      • Hiring Manager Name If “Allow forwarding candidates to unposted jobs” option is DISABLED in Manage Recruiting Settings, filters available are:
      • Keywords
      • Req ID
      • Recruiter Name
      • Hiring Manager Name
      • Job Posting
        If “Allow forwarding candidates to unposted jobs” option is ENABLED in Manage Recruiting Settings, filters available are:
        
  • When forwarding an applicant using Forward to Colleague you will see Eligibility as a green tick Eligible. 



  • However, as per the candidate privacy settings the candidate will not be forwarded and you receive an error



  • This is working as expected, When you move the candidate the system will validate based on the confirmation of the move. 
  • The Eligibility is based on the number of candidates that are selected and the status they are being moved to.
    Example: Status Background check is configured for only external candidates. You attempt to move four candidates to the status Background. Three candidates are external candidate and one candidates is internal. 
    When you select the four candidates and select move the system will confirm if the candidate is eligible to be moved to this status. In this example since the status is only available to external candidates you will see that three candidate are eligible and one candidate is not eligible.

  • To have the "Add to Talent Pool" button available in the new applicant workbench, these three permissions from Manage MDF Recruiting Objects are required:
  1. Candidate Relationship Management Status > Edit
  2. Candidate Relationship Management Status Set > Edit
  3. Candidate Relationship Management Status Map > Edit

          Note that these 2 permissions from Manage MDF Recruiting Objects are also required:

  1. Pool > Edit
  2. Pool Member > Edit

However the latter 2 are sufficient to see the button in the legacy workbench and have the option available in the menu of the redesigned workbench. Adding the other three is necessary to  have the button available on the application in the new applicant workbench.

If you feel that you need these features in the new applicant workbench, please create an influence request. 
  • In the legacy workbench>>Correspondence section has the email subject hyperlink upon clicking on it, will open a pop up which displays the FROM email address. However in the Latest applicant workbench there are no details of the FROM email address in the Correspondence section, this is the behavior with the latest workbench 
  • In latest applicant workbench, the candidate quick card is not supported. However, we encourage you to submit an enhancement request with the use case as to why you need this feature/how you are using this feature to have this functionality considered within future development cycles. 
  • In the latest applicant workbench, the typeahead feature is not yet supported for Object Fields in the Application. Engineering are working to have this ability included within a future Product Release.
  • The settings "Grant Interviewers the access level of " in manage recruiting settings will not be honoured when using the latest workbench. Interviewers will not be grant the same level of access has the selected role. 
  • Any changes made to Applicant Status Configuration, JobReqOperators or UplineManagers will be reflected in UXR Workbench within 1 hour
  • Currently the new workbench does not support parent-child picklist association. Hence, it's expected that once you select a value from a parent picklist, it won't fill out the child.
  • When using custom fields as filter columns, you may notice different values between the legacy workbench and the latest workbench. For instance, the column would be empty in the legacy workbench and show a value in the latest workbench. In this case, the value is coming from the candidate profile. This is the logic used to populate the filter columns in the latest workbench:
    - first fetch the value from the candidate profile if any
    - override with the value from the application if the value is non-null only
    So in our example the latest applicant workbench will show the value from the candidate profile, while the legacy one only takes from the application and will show no value since the field is empty there. This is an expected behavior.
  • When adding a comment for a candidate, there is no way to view the entire comment by resizing the window (like in the legacy version); a scrollbar has to be used instead. Product Management has confirmed this is an expected behavior (as the comment field is using a pop-up rather than a resizable text area).
