When executing the actions of cancel or closing Lease Contract ID ABC, Actions button is grayed out. (ABC stands for the Lease Contract ID)

1. Go to Lease Contract Management work center.
2. Open Lease Contract view.
3. Search and open Lease Contract ID ABC.
4. Actions button is grayed out.

Actions included on the Actions button are only available to Lease Contracts once certain conditions are met.

Conditions to Close a Lease Contract:

A contract can be closed if it has reached the contract end date and all the payment schedule and cash flow lines have reached their final statuses across all versions of the contract. It means that there’s no payment schedule that hasn't been invoiced and there’s no cash flow that hasn’t been posted. When all these conditions are met, the Close action gets enabled in the latest released version of the contract. You can then close the contract. No further actions can be executed on a closed contract. Note: A closed Lease Contract can’t be opened again.

Conditions to Cancel a Lease Contract:

A contract can be canceled in case an inconsistent contract has been released by mistake. To cancel a contract, it’s necessary to ensure that:

• All automatically generated supplier invoices for the contract have been canceled.
• All manually invoiced supplier invoices are handled.
• The corresponding payment schedule lines of all versions are set back to planned status in the Payment Schedule tab.

It’s also necessary to revert any cash flow postings made for the contract using the Reverse action of the Lease Posting Run. Once these conditions are met, the cancel action gets enabled in the latest released version of the contract. For more information, see Lease Posting Run Quick Guide.

If a contract is in In-Preparation status, the contract can be deleted instead of canceling it.

In case a contract is in Ready for Release status, Cancel Valuation action can be used and then it can be deleted in case there’s only one version for the contract. In case it’s a new version, first cancel the revaluation to bring it back to In-Revision status.

If there’s a contract in revision, the version can be canceled to go back to the last released version and then cancel the contract when all the necessary conditions are met.

Terminate a Contract:

In case a contract needs to be terminated early, a new version of the already released contract can be created and then shorten its lease term. Once the end date of the shortened lease contract is reached, and all the payment schedule and cash flow lines have reached their final statuses across all versions, then the Close action gets enabled in the latest released version of the contract. This action can be executed to terminate the shortened lease contract.

Notes:

• A canceled lease contract can’t be opened again.
• When cancelling a lease contract, the assigned ROU assets are treated as follows:

ROU assets in status In Process can be deleted.
ROU assets in status Capitalized gets deactivated automatically and the status becomes Retired.
