3376017 - Flexible Periods in Time Valuation

Symptom

As of 2024 1H release, it is possible to set up time containers that store data from time valuations for a flexible period of 1, 2, 4 weeks or between 1 and 12 months based on daily time container results from that period. WNV page Flexible Periods in Time Valuation and Weekly Period Calculations can be referred to.

Time Tracking license is required.

Detailed information on this flexible periods feature in time valuation can be found in implementation guide Flexible Periods in Time Valuation.

This KBA mainly provides sample time valuation configuration for your reference. And it is needed to adjust the time valuation based on your business details when you implement the flexible period time valuation. 

The below example is for the scenario to raise alert when there are more than 14 hours Overtime/OT in a quarter (3 months). 
It explains the time valuation configuration on how to persist the OT calculated in time container and raise alert when threshold 14 hours is reached in the Quarterly flexible period.
Time Valuation configuration on how the OT is calculated is not part of this KBA. 
In below example, the Input Time Type Group BLUE_OT_INPUT (in step 1.B) is the time type group that holds OT hours already calculated.

  1. Set Up Daily Time Containers for Flexible Periods
    1. Create a time type group BLUE_OT_CONTAINER as a daily base time container to persist the OT time calculated.
      Set Time Container Type to Yes.
      Set Period Result to No.
    2. Create an Aggregate Input Group and Split time valuation BLUE_OT_COLLECT to move the calculated OT value in BLUE_OT_INPUT to the time container BLUE_OT_CONTAINER (created in step 1.A).
      The time type group BLUE_OT_CONTAINER (created in step 1.A) should be set to Time Type Group Above.
      Input Time Type Group BLUE_OT_INPUT is the time type group that holds OT hours already calculated.
      Because this time valuation is simply to persist the calculated OT from Input Time Type Group BLUE_OT_INPUT into time container BLUE_OT_CONTAINER (created in step 1.A) in Time Type Group Above, the Threshold Type is set to Fixed Value, and Threshold Value is set to 0. 
    3. Create a time container time type group BLUE_OT_READER to retrieve value persisted in time container BLUE_OT_CONTAINER (created in step 1.A) to be available for time valuation. 
      Set Time Category to Time Container.
      Time type group BLUE_OT_CONTAINER (created in step 1.A) should be maintained under Time Container Group.
  2. Set Up Time Containers for Flexible Periods
    1. Create a time type group BLUE_FLEX_OT to hold the OT hours within the flexible period, here in this example, in a quarter. 
      Please set Period Result as Yes first. After Period Result is set to Yes, the screen refreshes, and then the Base Unit and Number of Base Units fields will appear.
      Set Base Unit as Month. 
      Set Number of Base Units as 3, because in this example it is a quarterly valuation.
      <You can set whichever number of months here from 1 to 12, depending on your requirement of the flexible period.>
      Reference Date is the start date of the flexible period.
    2. Create an Aggregate Input Group and Split time valuation BLUE_OT_FLEX_ALERT to raise alert when a certain threshold OT hour (14 hours in this example).
      Input Time Type Group is the container time type group BLUE_OT_READER (created in step 1.C) which retrieves the OT hours persisted in the time container BLUE_OT_CONTAINER (created in step 1.A).
      Time Type Group Above is the BLUE_FLEX_OT (created in step 2.A) to hold the values above the defined threshold, here in this example, Fixed Value is Threshold Type, and 14 is the fixed Threshold Value.
      Valuation Method should be Valuate Whole Sheet or Period.
      <Technically it is possible to use other Valuation Method than Valuate Whole Sheet or Period, but here in this example, Valuation Whole Sheet or Period is needed to check whether OT has reached the threshold or not in a quarterly flexible period.>
      Message Flag is Raise Message on Time Type Group Above. 
      Message Type is Alert and Warning. Please note, currently Error is not supported by a time valuation that is influenced by a time container.
  3. Assign the time valuations BLUE_OT_COLLECT (created in step 1.B) and BLUE_OT_FLEX_ALERT (created in step 2.B) in a time recording profile.

  4. After the time recording profile is assigned to the employee in Job Information portlet, alert would be raised if more than 14 hours OT are recorded within a quarter. 
    Such alerts currently can be found in Admin Alerts UI for Time Valuation Alert or in Time Sheet UI (New feature Rest Rule Alerts on the Time Sheet UI
    ), instead of Administer Time of the employee. 

After the above configurations, once the employee has recorded more than 14 hours OT in a quarter, there would be alert "BLUE_Q>14" raised.
In Admin Alerts, the alert can be found under Time Valuation Admin Alert Type.

And in Time Sheet UI, same alert would be displayed too.

You will need to refresh the Time Sheet UI to display such asynchronous time valuation alert when it is first raised.
