3379950 - 2H 2023: Enhanced Execution of HRIS Sync Jobs Triggered by Data Import or API Operations

With the 2H 2023 Release, we are announcing a change to the HRIS Sync Jobs Triggered by Data Import or API Operations. You wish to find out more about this change and whether it will impact your integrations.

Cause

Product Enhancement.

Resolution

Previously, an HRIS Sync job triggered by data import or API operations ran immediately. Now, the job waits up to 10 minutes before starting so that all data changes through data import or API operations during the waiting time are synchronized through a single job execution.

Why is this change being introduced?
A1.
This change optimizes resource allocation for job execution and improves overall system stability. 

Q2. Can you foresee any impact on any standard-delivered packages/integrations?
A2.  We have consulted with the PM and Development teams which deliver standard replications between SAP SuccessFactors and other SAP and non-SAP products. So far all have confirmed that the change should not have an impact as our replications rely directly on the HRIS tables (and not on the HRIS Sync jobs). This includes the following:
- SAP SuccessFactors SFAPI - Compound Employee
- SAP SuccessFactors Ask HR (Employee Central Services Center)
- SAP SuccessFactors Cross-System Workflow
- SAP SuccessFactors Master Data Integration (MDI)
- SAP SuccessFactors standard middleware-based replications with ERP (cf. KBA 2684991)
- SAP SuccessFactors Integration Center
- SAP SuccessFactors standard integration with with Identity Authentication and Identity Provisioning Services
- SAP SuccessFactors standard integrations with 3rd party solutions (cf. Employee Central - Integrate page)

Q3. Are there any actions I can or should take post 2H 2023 in relation to this change?
A3. Please closely monitor all your integrations and scheduled jobs post 2H 2023 and report any abnormal behaviour to the relevant Support team (for SAP SuccessFactors Integration queries, these will be LOD-SF-INT*)

Q4. How can I view the status of the job request automatically created for the HRIS Sync job?
A4. To view the status of the job request automatically created for the HRIS Sync job, go to the Admin CenterScheduled Job Manager > Job Scheduler tab. 

Q5. Is there anything I can do if I ever don't want to wait for these 10 minutes?
A5. 
You can run the job manually via the Scheduled Job Manager tool.

Q6. [Scenario based] What is the impact to an import job or integration process which is completed at 11:55 PM if the HRIS Sync job starts to run at 00:05 AM the next day?
A6. Our Engineering team have confirmed that the job in this scenario would start at 00:05 AM the next day, however they do not foresee any impact to the data sync.

Q7. [Scenario based] What is the impact to a new hire import job which is completed at 11:55 PM if the new hire is set as to be effective at 11:50AM the next day? I.e., Since the HRIS-Sync job will run on 00:05 AM the following day, will the new hire user be synced and have the status as “active”?
A7. We are not introducing any changes within the HRIS-Sync job logic. Therefore, the HRIS-Sync job will pick up users to be synced according to last-modified. In this example, the new hire user will be picked up to sync, and the user status will be set as “active”.
