Cause

Since 2H 2023 release, HR tasks in SuccessFactors can be performed in SAP’s AI copilot "Joule". Joule will allow managers and employees to perform business tasks in a conversational context that is enabled by supported transactional use cases. This KBA provides main information regarding Joule in SAP SuccessFactors.

Resolution

Joule has already been made available in selected data centers last November 17, 2023. For more details, kindly refer to below information and statements:

PREREQUISITES: 
  1. Joule is free to use, but to gain access you will need a no cost Joule SKU (8017178). You should have signed the T&Cs with your Account Executive (AE) (When necessary, refer to the commercialization material at Premium AI for SAP SuccessFactors Solutions). Please contact your Account Executive (AE) for more details on the licenses. 
  2. You should also have the following licenses: 
    • SAP Business Technology Platform (BTP) Global Account
    • SAP BTP Sub Account
    • SAP Build Work Zone, standard edition
    • SAP SuccessFactors License
    • SAP Cloud Identity Services (IAS & IPS)
                
  3. Joule should be available on your data center (More details here 3519499 - Enhanced Joule Data Center Consumption - SAP for Me & Data Centers Supported by Joule)
  4. SuccessFactors should already be live and integrated to IAS as Joule leverages the IAS setup for users login.
  5. Preferably live/implementing SuccessFactors Employee Central module. Employee Central Quick Actions to be necessarily configured. See Help Guide or a blog on configuring Employee Quick Actions.

MORE INFORMATION ON JOULE LICENSE: 
  • Joule is included as part of your SAP SuccessFactors license at no additional cost with a certain number of free messages for an annual period known as Base AI. Some of the AI Capabilities are part of the premium edition - Premium AI, where you may have to purchase AI Units to use the functionalities.
  • SuccessFactors customers will receive a Joule message allocation based on the number of licensed, active users; Users licensed for multiple products only count once.
  • Messages will be metered on an annual basis; at the end of each term, the annual allocation of free messages will reset (i.e., no carryover)
  • Customers must purchase additional SAP AI Units (Premium AI) if they exceed their free message allocation during the annual period
  • In case the service is not visible in your BTP Cockpit - to gain access to Joule, all customers will need to license a no-cost SAP SKU. Doing so will trigger the provisioning of Joule and the creation of the terms and conditions that must be accepted by the customer to use Joule. For this license, please contact your Account Executive (AE). 
FAQs: 

Does Joule require any separate License to set up & use? 

- Yes, Joule Enablement in SuccessFactors requires separate license as a necessary prerequisite. Kindly reach out to your SAP Account Executive (AE)  for more details on the same.

How to enable Joule in SuccessFactors? 

- Once the Joule-specific license has been acquired as mentioned previously, the initial setup & user sync for Joule has to be fully completed. When will Joule be available in the data centers that are not in the current supported list? 

- We currently do not have a confirmed timeline for Joule availability on the unsupported data centers, but we do recommend Subscribing to the help guide ( Data Centers Supported by Joule | SAP Help Portal ) as this will be kept updated with introduction of more DC support.

Important Note:  We have trained the NLP (Natural Language Processing) model in the out-of-the-box solution to have Joule recognize various user expressions and HXM words and terminologies. But there might exist some minor issues with NLP recognition, like- lack of context-awareness, inability to recognize specific terms (e.g. pronouns, possessive adjectives), rule-based flows etc. Our product team is continually working on improving these deficiencies.

Can I implement Joule in Paid Sales Demos?

Currently, Joule is not available in Paid Sales Demo. However, our Product team is working to make it available in the upcoming months.
