3392184 - [Onboarding] Candidates become an active user immediately when initiated with ROOE

Symptom

When onboarding is initiated for candidates and accepted as ROOE, the candidates seem to be converted as active employees after the conversion job is successfully run (even with future start date). Due to the candidate getting converted as an active employee, they are unable to login to the instance to complete paperwork if SSO/IAS is enabled

Environment

Cause

  • When a candidate with an open onboarding process is rehired, system tends to reactivate the candidates employment immediately as the rehire is a rehire with old employment.
  • Since the initial onboarding process was not archived, the candidates onboarding process was still open.
  • Newhire was converted to an employee and terminated. Second process was created with Rehire On Old Employment hire type and reached NHDR step.
  • While the second process was at NHDR step, external user was converted to internal employee based on first OPEN process with past start-date & hired status.
  • After completion of NHDR step for second process, user status sync to IAS failed.

 

Resolution

--Solution--

  • This is a known issue
  • Our Engineering Team will be working towards a fix for the same. The fix date for the issue is still not planned.
  • In order to understand when the issue will be fixed, you may reach out to your SAP Account Manager to find out the fix date for OBX-27298

    Kindly follow the below KBA for fix date

--How to avoid this in the future--

  • Before Rehiring the candidates with Rehire with Old Employment, please ensure that the previous onboarding process is completed.
    (or)
    Kindly ensure that the rule to archive the onboarding process is configured correctly so that the previous onboarding processes are auto-closed and removed from the dashboard.

--For existing users--

  • Go to the employee profile of the candidate, delete the rehire related data for EC entities. This will move the employee back to terminated state.
  • Ensure that the previous onboarding process is completed (Manage Data > Process > Find the candidate > Process Status > Completed)
  • Initiate Onboarding again with Rehire on Old Employment hire type. The error will not happen post NHDR as there would no more be stale data present in the system.
