3395064 - Purchase Order Can be Created but Error "Budget Exceeded" is observed When Approving

You can create a purchase order although the net amount exceeds the available money in the assigned cost center.

However, you get error 'Budget Exceeded for Budget Category AAA Cost Center BBB by 0.00' at the approval step so you cannot approve the purchase order.

SAP Business ByDesign

1. Create a purchase order from Purchase Requests and Orders work center;
2. Click Order button, and the purchase order is submitted for approval;
3. When approving the purchase order, get error message: Budget Exceeded for Budget Category AAA Cost Center BBB by 0.00.

This is a normal system behavior. System will implement budget control for purchase orders and supplier invoices if Budget Control Function is activated, during the process of creation, approval and order after change.

If purchase order XXX can be ordered but cannot be approved due to the budget control, it is because for this cost center BBB, other purchase orders have not been approved yet when purchase order XXX is created. So the available budget in cost center BBB has not been consumed.

After other purchase orders get approved and there is no enough budget left for purchase order XXX, system will drop error message when approving purchase order XXX.

This issue can be avoided by raising the budget or choose suitable cost center which has enough budget.
